About the Department/Unit

The Office of Undergraduate Academic Services in the School of Communication (SOC) at American University is looking for a collaborative, welcoming colleague to join its team. Our office services all current, prospective and former members of the SOC community, so we are looking for someone who can thrive in an environment where there is a lot happening throughout the day. Summary/Objective

The Administrative Coordinator in the undergraduate affairs office (Office of Student & Academic Affairs (OSAA)) in the School of Communication is responsible for ensuring the day-to-day functioning of the office and delivering a high level of service to students (current and prospective), families, faculty, staff and alumni. The Administrative Coordinator works with many of the university’s technology tools to support the work of the undergraduate advisors, director and assistant dean. This individual helps coordinate outreach activities and communications with prospective and current SOC undergraduates. This position also assists with management and execution of student & academic affairs events. This position oversees the student workers in the OSAA.

Essential Functions
  1. Administrative Support –coordinates the day-to-day operation of the OSAA.
  2. Student Worker Supervision –the incumbent is responsible for hiring and managing student workers to support the front-line operations; build and maintain the student worker training manual.
  3. Prospective Student & Family Support –help coordinate undergraduate outreach activities and communications; prepare informational materials and forms, schedule appointments with staff members, organize campus tours, assist with the planning and execution of Preview Day & New Eagle Day; assist the Director in the oversight of SOC Ambassadors.
  4. Data & Technology Support – the incumbent uses the university’s technology tools to provide data, create reports, streamline, and troubleshoot systems that support the functions of the office and all members of the team.
  5. Event Planning & Logistics –assist in the coordination of undergraduate orientation, commencement and other events that involve the OSAA staff; reserve rooms; order food; coordinate attendance by faculty and staff.
  6. Other Duties as assigned.


Work Environment
  • Full campus presence is required.
  • Some minimal evening and weekend work may be required to support student service events.

Required Education and Experience
  • High school diploma or equivalent
  • 1-3 years of relevant experience
  • Proficiency in Microsoft Office required.
  • Must be an effective organizer and planner, with excellent oral and written communication skills and possess strong customer service skills.
  • Must have ability to work independently and as a member of a team.
  • Proven ability to handle several tasks simultaneously, set priorities and accomplish tasks, research and resolve problems, and follow through on projects and assignments.
Preferred Education and Experience
  • Bachelor's degree
  • Knowledge of higher education is desirable.
