Position Description:
This is a 40 hour a week position. This is a hybrid position. 40-60 % minimum in-office following the initial training period in person.

University Corporation of Monterey Bay (Corporation) is a non-profit institution that is related and affiliated with the California State University, Monterey Bay (CSUMB). The Corporation, established in July 1994, is a nonprofit §501c(3) public benefit corporation and a recognized auxiliary organization of California State University. The Corporation's mission is to support the educational mission of CSUMB. Among other services the Corporation provides student housing, faculty-staff housing, dining services, bookstore services, child care, and grants and contracts post-award administration, along with business services to the other auxiliaries at CSUMB, the Foundation of CSUMB (Foundation) and the Otter Student Union (OSU).
POSITION SUMMARY:
Under the general supervision of the Accounting Manager, the Accounts Payable/Receivable Technician is responsible for processing Accounts Payable, Accounts Receivable and providing support to staff in various areas within the Accounting Department according to departmental policies, procedures, and deadlines and other administrative tasks as assigned.


ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
Accounts Payable:
● Maintain standards for all accounts payable processes and procedures, timely and accurate recording of expenses and adjustments and timely payments of all financial obligations.● Audits vouchers and documents for accuracy, completeness, validity, and adherence to standards and policies.● Processes and distributes checks by mail or pickup. Handles checks to be voided or canceled and reissued if necessary.● Explains Auxiliaries' policies, regulations, and guidelines for processing payable transactions to students, faculty/staff, external agencies, and the public.● Assist with 1099 processing.

Accounts Receivable:● Maintain standards for all accounts receivable processes and procedures, the timely and accurate recording of revenue and adjustments, and prompt receipt of all monies owed to the organization.● Prepare billings, update customer contact information, and other activities associated with the accounts receivable function.● Responsible for researching discrepancies between posted charges and cash receipts.● Monitor accounts receivable balances. Contact customers and initiate collection activity as required.● Journal Entry preparation and review, identifying needed reclassifications and/or transfers.● Assist accountants with the preparation of financial reports.

General:● Route and collect documents and e-signatures via document workflow system(s).● Investigates and resolves financial errors and discrepancies and alerts the appropriate Accounting staff to make the necessary corrections if needed.● Create and maintain spreadsheets, including entering, revising, sorting, calculating and creating tables; make mathematical calculations.● Maintains, stores, organizes and archives documents in a virtual document environment.● Assists in providing quarterly and year-end accrual information.● Conducts accounts payable/receivable workshops for personnel.● Recommend changes to and assist with the documentation and maintenance of business processes, standards and procedures.

Other Functions:
  1. Recommends process changes to enhance effectiveness and efficiency.
  2. Provides administrative support to additional special projects as requested.
  3. Establishes and maintains effective relationships with University and Auxiliary staff, faculty, students, as well as the general public.
  4. Problem-solves various Auxiliary-related administrative matters as they arise.
  5. Takes on special projects and performs other duties as assigned.


PHYSICAL WORK ENVIRONMENT:
This is a hybrid position. 40-60% minimum in-office following the initial training period.

Knowledge, Skills and Abilities:
  • Fully functional knowledge of and skill in standard office procedures and practices. Ability to quickly acquire a thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.
  • Thorough knowledge of financial record-keeping methods, procedures, and practices.
  • Working knowledge of governmental accounting methods and related laws, rules, and regulations.
  • General knowledge of nonprofit financial record-keeping methods.
  • Ability to review financial documents for accuracy, completeness, validity, and adherence to standards; compute and post figures rapidly and accurately; maintain files and records; identify, trace and correct errors; follow directions; interpret and apply written rules and regulations; establish and maintain effective working relationships with others; exercise tact, courtesy, alertness, and good judgment in responding to others; operate standard office machines, 10-key calculator or Excel, multi-purpose copiers; use personal computers and automated accounting systems; and read and write English at a level appropriate to the position.
  • Ability to apply accounting procedures and practices to the analysis of complex accounting problems; analyze and interpret accounting data; prepare clear, accurate financial statements and reports; utilize problem-solving techniques in finding solutions to complex accounting problems; understand and apply applicable rules, regulations, policies, and procedures; work independently; and make sound decisions and recommendations regarding accounting activities.
  • Ability to interpret a wide variety of written rules and regulations; maintain accounting records virtually for funds, programs, or activities involving multiple transactions; compile, verify, and reconcile financial data; understand trial balances, financial statements, and reports; investigate and resolve errors and discrepancies; and read and interpret computer-generated reports.
  • Thorough knowledge of English grammar, spelling, and punctuation. Ability to communicate clearly orally and in writing in a professional and effective manner with faculty, staff, students, and the public. Ability to draft and compose correspondence and standard reports.
  • Ability to use personal computers and appropriate job-related software. Thorough knowledge of office systems and ability to use a broad range of technology, systems, and software packages. Ability to quickly learn and use new office support technology systems and software packages.
  • Ability to independently handle multiple work unit priorities and projects and apply a wide variety of policies and procedures where specific guidelines may not exist.
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections.
  • Ability to effectively handle a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
  • Ability to establish and maintain cooperative working relationships within a diverse, multi-cultural environment.
  • Ability to work independently and as part of a team in a cross-functional environment.





Minimum Qualifications:
Equivalent to four years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities OR any equivalent combination of education and experience which provides the required knowledge and abilities.

Prospective applicants who have not had the experience listed may substitute other evidence of meeting the above qualifications for up to two years of the required experience.

Specialized Skills:
  • Demonstrated experience that clearly provides evidence of the knowledge and skills required to perform each essential duty satisfactorily. The requirements identified above are representative of the knowledge, skills and/or abilities required.

Preferred Qualifications:
  • Equivalent to four years of progressively responsible accounts payable and receivable experience
  • Experience working with a computerized accounts payable system
  • Graduation from a four-year college or university with a degree in a business-related field.
  • Experience in an educational, governmental, or a non-profit accounting environment. Technical fluency with Oracle/PeopleSoft, Revenue Vision, Microsoft Office Professional Suite, and Google mail and calendaring programs.
  • Experience in working independently and ability to develop and implement operational strategies in resolving problems; ability to present ideas, implement creative solutions and establish priorities to achieve results and expedite projects.
  • Highly desirable: Demonstrated understanding of and commitment to the CSUMB Vision Statement and the core values of mutual respect, collaboration and service orientation, multiculturalism and diversity, community service and institutional excellence. Experience working with a diverse and multicultural population and performing community services; demonstrated technical literacy.


Special Conditions of Employment:

The hiring range for this position is $22.00-26.00 per hour. This is a non-exempt position and as such is eligible for the overtime provisions of the Fair Labor Standards Act.
