Hagerstown Community College, located in western Maryland, is pleased to announce that applications are currently being accepted for a Student Financial Aid Associate position.

 

SUMMARY STATEMENT

The Financial Aid Associate provides quality customer service to students, parents, HCC staff and faculty. This person is also responsible for counter, phone, and electronic communications to assist with financial aid application processes and disseminating information while supporting key customer service support responsibilities and making referrals to other Student Financial Aid office staff when needed.

 

ESSENTIAL DUTIES

A. Customer Service

1. Maintains financial aid knowledge base by learning from other SFAO staff, attending staff meetings, participating in professional development training opportunities, and following financial aid trends.

2. Responds student and parent financial aid inquiries and makes referrals to the appropriate SFAO staff member when needed; ensures timely and accurate information.

3. Provides back-up phone coverage for other SFAO staff when needed.

4. Responsible for reviewing information and imaging documents received from students, assuring accurate and complete information is received.

5. Promote the use of online and electronic services, including Ellucian Student Self-Service modules of Financial Aid, Student Planning and Finance, the Chatbot, FAFSA on the web, student loan entrance, exit counseling; work with the Director to ensure web information is accurate and student-friendly.


B. Student Financial Aid Office Supports

1. Run missing information letters and electronic follow-up.

2. Complete financial aid award verification forms for outside agencies, including the Department of Social Services, Vocational Rehabilitation, and Housing Authority.

3. Complete and submit consortium agreements for students who are dually enrolled by attending another college/university while also attending HCC.

4. Perform secondary confirmation to Department of Homeland Security to check noncitizen status verifying Federal Student Aid Eligibility.

5. Fulfill other SFAO duties as assigned by the Director and in the absence of other Financial Aid Associates; duties may include:

a. Enrollment verification and class attendance tracking of all students, this includes identifying both financial and self-pay students who are no-shows.

b. Scan completed financial aid paperwork and forms received on the front line; when completed, route the information to the appropriate queue for review by other SFAO staff.

c. Complete financial aid information needed for ongoing Registration Appeal review.

d. Participate in ongoing review of office forms and web information to ensure accurate and student-friendly information.

e. Monitor and maintain office supplies inventory, submit supply requisitions and communicate with Director as needed.

f. Coordinate FAFSA labs and assists when needed.

 


C. General Office Duties

1. Assist current and prospective students in financial aid application processes, including completing the FAFSA (Free Application of Federal Student Aid) and loan application processes.

2. Data entry responsibilities, as needed.

3. Other duties as assigned.


Requirements

EDUCATION AND EXPERIENCE

Associate Degree required; cannot have defaulted Federal Student Loans; experience in the financial industry and customer service preferred.


SKILLS AND ABILITIES

Ability to provide helpful, student-centered, customer service required; ability to deal tactfully and equitably with students and visitors of varying socio-economic, ethnic and cultural backgrounds required; openness to different lifestyles; ability to work with difficult personalities, de-escalate situations, and make appropriate referrals to other SFAO staff.
