Summary

VCU Facilities Management is seeking to hire a Warehouse Property Coordinator for the Physical Plant.

The Warehouse Property Coordinator plans, schedules, coordinates, tracks, and manages all surplus property and asset tagging; and maintains surplus property records in accordance with state and federal regulations. The primary tool that is used to accomplish this end is the current CMMS (Computerized Maintenance Management Software). The Warehouse Property Coordinator manages the University re-use and surplus property program and Public auctions, and manages and oversees the sale of all assets by properly logging and documenting via financial reporting.

Responsibilities include but are not limited to:
  • Plan and schedule internal and external moves of furniture, surplus property, and equipment by direction of customer work orders
  • Schedule appointments with internal customers to view reuse surplus in warehouse and schedule surplus drop-offs of furniture and equipment as needed
  • Assist in coordination of large mass moves with warehouse manager and selected contractors to maximize efforts across university
  • Manage all public auctions for the University
  • Track monthly online revenue
  • Manage pickup of sold items within the established guidelines
  • Coordinate the planning, organization, and operations of receiving, checking, storing, transferring, issuing, and disposing of furniture, equipment, and vehicles
  • Serve as a back-up to the Warehouse Manager
  • Assist in the management of the institution's re-use program
  • Track items using the surplus property form
  • Ensure all public auction documentation is in compliance and is retained
  • Ensure accurate and timely updates are made in AiM for customer requests
Minimum Hiring Standards
  • Experience in surplus property, public auctions, and/or warehousing operations
  • Knowledge of university practices and regulations relating to Surplus Property Management
  • Familiarity with AiM or other CMMS systems
  • Excellent communication skills
  • Strong math background
  • Knowledge of general business practices to include purchasing and accounting
  • Ability to work independently and diplomatically with customers and vendors
  • Detail-oriented with the ability to multi-task, handle problems, and make decisions
  • Ability to interpret documents and communicate compliance issues
  • High school diploma, GED, or equivalent
  • Valid Virginia Driver's license
  • Related college course work or a combination of education and experience
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU
Preferred Hiring Standards
  • Some supervisory experience is desired
  • College degree preferred
  • Higher course work in Business, Accounting, and/or Marketing preferred; or equivalent combination of training and experience indicating proficiency in the knowledge, skills, and abilities listed above
Required Licensure/Certifications
  • Valid Virginia Driver's license is required
