Brief Description of Duties

The Staff Assistant of the College of Agriculture, Urban Sustainability and Environmental Sciences (CAUSES) of the University of the District of Columbia (UDC) is an integral part of the visionary team of professionals that support the mission of CAUSES to “…offer research based academic and community outreach programs that improve the quality of life and economic opportunity for people and organizations in the District of Columbia, the nation, and the world.” CAUSES programs are offered through five land-grant centers, two academic departments, and two institutes. The Staff Assistant is assigned to one of these program units, but works closely and collaboratively with the administrative team of staff assistants and the executive assistant of CAUSES to ensure smooth coordination and collaboration across the College. The incumbent is expected to performs a wide range of administrative responsibilities associated with managing the day-to-day operation and strategic direction of the College and its program units, and is expected to perform all duties with a high degree of independence, professionalism, initiative and efficiency, exercising good judgment and paying attention to detail. The current assignment is with the Associate Dean for Land-grant Programs. The College reserves the right to change your assignment as new needs and opportunities emerge.

Essential Duties and Responsibilities
  • Ensures the smooth day-to-day operation of the assigned program unit including scheduling internal and external appointments, making travel arrangements, event planning, perusing incoming correspondence, handling official correspondence and, creating and managing data files and office records.
  • Implements general office processes including record keeping, arranging meetings and workshops, securing and stocking supplies and equipment, and drafting reports as directed.
  • Enters requisitions and purchase orders for approved purchases and tracks timely delivery of
  • Maintains the office purchase card, orders supplies and equipment as needed, and maintains the operating budget of the assigned center/ department as needed.
  • Maintain records of programs, collaborators, and program sponsors, assures the accuracy of all records, and draft reports as needed.
  • Provides support for the collection and compilation of accurate internal and external information, and program data, and interfaces with the CAUSES assessment unit.
  • Drafts correspondence, meeting minutes, documents, and reports ensuring correct grammar, spelling and style.
  • Supports the delivery of educational programs, ensuring needed set up and supplies for the assigned center/department.
  • Serves as information sources for students, faculty, staff, community clients and collaborators on outreach and research activities of the assigned center/departments, the UDC urban food hubs, and other CAUSES activities.
  • Identifies problem areas, with regard to the administrative and operational matters of the assigned program unit and recommends solutions.
  • Exercises discretion and takes independent action on behalf of the assigned program unit and the College on routine matters.
  • Assists with overseeing and evaluating student workers and interns as needed.
  • Other duties as assigned.
Minimum Job Requirements
  • High school diploma required, some post-secondary education experience (two-year degree preferred)
  • Two or more years in a comparable position.
  • Knowledge of the principles of office management and of modern office procedures, systems and equipment.
  • Knowledge of rules, regulations, policies and procedures of various Federal and District agencies or the ability to acquire such knowledge quickly.

Collective Bargaining Unit (Union): This position is in the collective bargaining unit represented by AFSCME local 2087 and you may be required to pay an agency service fee through direct payroll deduction.

Residency Preference: The Residency Preference Amendment Act of 1988, D.C. Law 7-203, created a system in which provides that any applicant for employment in the Career or Educational Services who is a bona fide resident of the District of Columbia may claim a residency reference at the time of application. An applicant selected for an appointment based on District residency will be required to submit no less than eight (8) proofs of bona fide District residency. Bona fide District residency must be maintained from the date of appointment to the position for seven (7) consecutive years. Failure to maintain bona fide District residency for the (7) year period will result in forfeiture of employment.

Drug-Free Workplace: Pursuant to the requirements of the Drug-Free Workplace Act of 1988, the individual selected to fill this position will, as a condition of employment, be required to notify his/her immediate supervisor, in writing, not later than five (5) days after conviction of any criminal drug statute occurring in the workplace.

Background Investigation: Employment with the University of the District of Columbia is contingent upon a satisfactory background investigation. The determination of a 'satisfactory background investigation' is made at the sole discretion of the University of the District of Columbia. The University may refuse to hire a finalist, rescind an offer of employment to a finalist or review and may terminate the employment of a current employee based on the results of a background investigation.
