Official Title: Administrative Assistant III Business Title: Graduate Student Services Administrative Assistant Employment Class: University Staff FTE: 1.00 Compensation: $17.00 to $19.34 per hour FLSA Status: Non-Exempt Terms of Employment: 12-month, Continuous Position Summary:

This position reports to the Director of the Graduate and the Office of Graduate Studies at the University of Wisconsin Oshkosh campus. The position requires the ability to work collaboratively while using outstanding communication to contribute proactively to a respectful and professional environment. Responsibilities include accurate, timely and professional support to the Director, graduate program directors, students, and collaborators across the University. Some of these hours may be fulfilled remotely.

Responsibilities
  • Schedules logistics and secures resources for meetings, conferences, travel, and Graduate Studies operations
  • Serves as a primary point of contact for applicants, graduate students and program coordinators, as well as other individuals and groups, and provides information related to Graduate Studies via phone, in person, and through other communication mediums
  • Prepares and audits complex records, edits documents, and reviews work done by others
  • Provides guidance on the improvement of processes within the Graduate Studies Office
  • Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures
  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures
  • Responds to students’ inquiries, concerns, and needs throughout their graduate career
  • Handles the processes related to the hiring of Graduate Assistants and the awarding and distribution of student grants
  • Collaborates effectively across departments and programs to meet the goals of the Graduate Studies Office
Qualifications Required:
  • Ability to manage complex issues, effectively organize work to meet multiple and impending deadlines and maintain attention to details while taking direction from multiple stakeholders.
  • Advanced knowledge of Microsoft Office Suite including Word, Excel and PowerPoint.
  • Knowledge of complex, interactive information system such as PeopleSoft.
  • Ability to learn and apply new software applications to optimize efficiency.
  • Strong decision-making, prioritizing and problem-solving skills.
  • Excellent written and interpersonal communication skills
  • Organizational skills related to records management, collection and interpretation of data and course scheduling.
  • Ability to exhibit initiative and independent judgment.
  • Demonstrated commitment to diversity, equity, and inclusion.
  • College-level coursework or 2-year Associate’s Degree from an accredited institution.
  • Knowledge of purchasing, budget tracking and reporting methods, and requisite systems (i.e. WISER, PeopleSoft, and other general bookkeeping systems).
  • Proficiency with basic web content management systems such as WordPress.
  • Minimum of 2 years of recent, relevant administrative support experience
  • Ability to access student /course/ faculty information, and familiarity of student grade/program appeals procedures.
