Department Summary

The Professional and Continuing Education (PaCE) department resides in the College of Extended and Global Education. PaCE extends university resources to accommodate the educational and professional development needs of today's workforce in a variety of program formats and settings.

Job Summary

The position serves the Professional and Continuing Education (PaCE) department with the development and administration of business technology systems, educational programs, research and analysis, regarding the performance of current programs, feasibility of new programs, including labor market needs assessment and competitive analysis within the Inland Empire to meet workforce educational needs.

Working independently under general direction, this position performs varied and advanced administrative and analytical duties. The incumbent will be responsible for the operational administration of self-supported educational programs, including responsibility for researching, forecasting, planning, market development, developing proposals and memorandums, promoting and implementing programs and all logistics associated with implementation, and ongoing improvement of quality and sustainability of programs, as well as for financial planning, including development and monitoring of budgets, ongoing operational management, collaboration with partners, and improving cost-effectiveness.

Responsibilities include but are not limited to:
  • Overseeing and provide program leadership for (non-IT) administrative functions of business technology systems to conduct business automation; including user account maintenance, data tables, and validation tables, reports, dashboards, queries, workflows, data collection forms, third-party integrations, testing of new systems, web pages, and other routine tasks. Manage and/or assist with system integrations;
  • Creating and maintain ongoing automation functioning, including reports related to program development and management, data collection from potential and current students, and queries to support program development, management, support, and student advising;
  • Training new users and develop technology skill sets across the PaCE team;
  • Managing end-user roles, profiles, sharing rules, workflows, and groups; mass import leads, contacts, and other data, while training staff members to use the Data Import Wizard for small uploads. Perform database maintenance tasks, including data exports (query, diagnostic tests, and duplicate entry cleansing);
  • Developing policies and procedures proposals related to technology for the application of systems.


Employment Status: Full time, Exempt, Probationary with the possibility of converting to permanent.

Work Schedule

Monday through Friday from 8:00 am to 5:00 pm, weekends and evenings may be required.

Key Qualifications
  • Under general direction, the performance of administrative and program leadership in a large and/or complex organizational unit with broad impact. Required to assess, formulate, and evaluate the impact of recommended or implemented programs from a strategic and operational perspective.
  • Work requires regular participation in planning and development activities and as required, independent determination of methods to meet programmatic, college, and institutional goals.
  • Independently determine approaches to program administration. Work is reviewed against overall goals and objectives, with full accountability for results.
  • Serve as the primary contact for multi-educational programs while managing relationships with campus partners and outside entities.
  • Oversee day-to-day program operations and provide task work direction to other professional or administrative staff.
  • Skill in the research, development, and evaluation of policies and programs, including skill in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications. Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.
  • Strong proficiency with business systems, workflow/process analysis and design, and technologies.
  • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations.
  • Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management.
  • Expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies.
  • Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions.
  • Ability to work with representatives from public and private entities and handle potentially sensitive situations. Demonstrated consultative skills in working with internal and external constituent groups.
  • Ability to effectively present ideas and concepts in written or presentation format and use consultative and facilitation skills to gain consensus.



Education and Experience
  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS four years of related experience.



Preferred Qualifications
  • Master's degree, in a business or related field, preferred.
  • Five years of experience researching, developing, implementing, and managing educational programs, preferably in higher, extended, or adult education.



Salary

Anticipated Hiring Range: $4,693 - $5,500 per month

Classification Salary Range: $4,693 - $8,489 per month
