Supports the Admissions Department’s goal to recruit the finest students. Provides exceptional verbal and written communication for families going through the admissions process through email, by phone or in person. Completes accurate and efficient data entry. Supports Admissions Officers as needed. Responsible for managing specific areas as assigned.
Key Accountabilities
- Responsible for assisting applicants and families with questions received via telephone, email or in person in a timely, accurate, professional and welcoming manner in regards to the admissions process.
- Assesses incoming documentation against admissions guidelines.
- Performs accurate data entry into systems for all processes.
- Assists in coverage for Admissions Office for visitors on campus.
- Develop and maintain documentation on processes.
- Responsible for key areas that may include:
- Communications
- Event Management
- Alumni Relations
- Program Relations
- System Integration
- Exception Handling
- Reporting and Analytics
- Provides training and support for co-workers where applicable.
- Executes audits and/or reports to verify data integrity and resolve issues identified.
- Confidently works in Microsoft Office at an intermediate or advance level; especially in Excel.
- Performs other duties as assigned.
Incumbent is required to work with a high level of independence and autonomy, and exercise a high degree of initiative, influence, and judgment in decisions affecting staff and department operations.
Expected to solve problems or address issues that require immediate attention. Essential to work collaboratively with co-workers in a shared, fast-paced environment.

Internal & External Contacts
Frequent contact with students, Dean of Students office, PEA administrative and academic offices, faculty, coaches, and staff. External contacts may include parents, outside organizations, visitors and local community neighbors.
Position Requirements
Education
- High school diploma or GED required.
- College degree preferred.
- 3+ years of office operations experience.
- Experience working with adolescents in an educational setting preferred.
- Respect for diversity of identities and experiences, an orientation toward equity and inclusion, and cultural competency in all aspects of Academy life.
- Strong interpersonal skills with ability to develop and maintain collegial relationships.
- Excellent clerical skills.
- High degree of organizational skills with the ability to be flexible and multi-task with accuracy.
- Excellent analytical and problem solving skills as well as a strong customer focus.
- Demonstrated ability to make independent and coordinated decisions in a fast-paced environment.
- A strict adherence to confidential policies is required.
- Excellent communication (written and verbal) skills.
- Demonstrated ability to work with students by building trust and credibility.
- Ability to follow verbal and written directions, maintain a professional demeanor and restraint at all times, including stressful situations.
- Proficient in MS Office and relational databases.
- Willingness and ability to learn additional applications as needed to be more efficient.
- Ability to work independently and handle multiple priorities and deadlines simultaneously.

- Ability and willingness to travel (by car, air, train or bus) domestically as needed.
- Successfully complete a criminal background check (reviewed every 5 years).
- Clean Driving record (reviewed annually).
