We are seeking a Senior Academic Program Coordinator who will administer growing academic activities in the department of Neuroscience and possess excellent organizational skills, communication skills, and diplomacy. The Senior Academic Program Coordinator is expected to learn and possess extensive knowledge about academic programs, policies, procedures, and student support services. May perform duties of a sensitive and confidential nature.

Specific Duties & Responsibilities:

Student Support

  • Provides information and assistance to prospective and current students about admissions criteria, program requirements, course content and schedules and registrations (assist students with course selections, and canceled courses); rotations, and refers issues involving academic and grading problems; and helps coordinate and schedule graduation seminars.
  • Provides information and assists and refers students with inquiries regarding graduation requirements.
  • Works with Student Accounts, Financial Aid and/or Registration to research and resolve student inquiry issues.
  • Serves as a first point of contact for graduate students in the Neuroscience Department on administrative matters.

Course Support

  • Provide administrative support for academic courses offered through graduate program in coordination with course directors. Support course directors with scheduling, monitoring and supporting teaching assistants, grade management, etc.
  • Maintain current lists of approved neuroscience electives and approved non-neuroscience electives
  • Monitors course enrollments and any changes in assigned faculty, up-dates SIS data as course and/or instructor information changes.
  • Schedule rooms for courses, ad hoc classes, and events.

Program Records Management

  • Coordinates, and manages administrative and academic systems and services to support academic program activities. Includes maintaining student databases.
  • Schedule and track student committee meetings and results (DBO, thesis proposal defense, semi-annual thesis committee meetings, permission to write, and dissertation defense) and maintain records.
  • Develop and maintain student alumni database.
  • Manage graduate program email lists
  • Prepares reports using Microsoft Office (e.g., Word and Excel), as needed and assigned.
  • Maintains secure electronic and paper records systems, including those for confidential student records.
  • Prepares files for archiving at appropriate intervals, following established procedures. Creates new files for incoming students.
  • Maintains student electronic files and ensures security of confidential student records, including admissions, course information and any coaching/teaching/counseling records.

Program Administration

  • Represent the program on administrative matters. May include issues pertaining to space, facilities, technology, student information system, and classroom support.
  • Monitor and assist admissions processes, progressions, and graduation committees.
  • Assist with planning events like Orientation, Visiting Students Days, New Student Picnic, and Department wide retreat, Holiday gathering, Happy hours, Student Faculty tea, Department wide lab lunch and attend all events.
  • Work with Program Directors and Deputy Director to manage budgets related to academic events and graduate program. Use independent judgment to effectively allocate resources.
  • Maintain and enhance processes, procedures, and systems to ensure trainee and mentor accountability for federally-supported predoctoral training program.
  • Work closely with counterparts in the graduate program, academic departments, Dean's Office, student affairs, business office, marketing and communications and other SOM departments. Coordinate with other university offices on behalf of students as needed
  • Other responsibilities as assigned.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED
  • Five years progressively responsible administrative/academic experience.
  • Additional education may substitute for required experience.*

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Bachelor’s Degree.
  • Experience working in higher education.
  • Experience with New Innovations, Slate, SAP and Blackboard.

Starting Salary Range: $20.02 - $27.51/hr (commensurate with experience)

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
