Summary:
The College of Lake County is currently looking for a Senior Administrative Assistant to join the adult Education Department. This position provides administrative and budgetary support to the Dean that is performed independently, demonstrates in-depth knowledge of and adheres to institutional and division policies and procedures (especially on budgeting and purchasing) , exercises judgment and initiative to address issues and needs of the division, faculty, staff, and students.

Required Qualifications:
1. High school diploma or equivalent.
2. Proficiency in Word and Excel.
3. Previous office/administrative experience.
4. Excellent communication and organizational skills.
5. Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.

Desired Qualifications:
1. Coursework in office systems, business, or related field.
2. Demonstrated ability to work with confidential information.
3. Experience working with student information systems or finance systems.
4. Excellent follow-through.
5. Ability to work independently.
6. Bilingual, preferably in English and Spanish.

Summary of Essential Functions:
Budgeting and Grant Reporting: 75%
1. Assists in reconciling expenditures and revenues for the adult education grants and other grants.
2. Monitors fund expenditures and assists in preparing quarterly and semi-annual state reports on spending and enrollment.
3. Monitors performance outcomes and assists in the preparation of state required performance reports.
4. Tracks cost allocation against generated units of instruction in state databases.
5. Tracks all purchases within the grant reporting categories.
6. Maintains the required files, records, and databases of the office for audits.
8. Tracks time and effort reports in conjunction with grant expenditures.
9. Prepares grant financial reports.

Administrative Operations 20%
1. Receives visitors, answers telephones, reviews inquiries, provides advice, and represents the office to student, faculty, administrators, and the community exercising discretion in obtaining and providing factual and confidential information.
2. Anticipates and initiates action regarding administrative detail, such as what information is to be provided to whom, project and activity priority, etc.
3. Collects, collates, and enters student records into the state data system.
4. Assists in coordinating divisional activities including graduation recognitions, etc..
5. Provides administrative direction to ensure supplies, technology, and other resources are available for staff.

Other 5%
1. Coordinates with other areas of the college for projects, tasks, and operational needs of the Division.
2. Performs other duties as assigned.
