Academic Administrative Assistant

The Academic Administrative Assistant will provide support for undergraduate academic departments and operations. The Academic Administrative Assistant reports to the Undergraduate Assistant Academic Dean. This is a full-time, hourly position located on the main Midland campus.

Responsibilities
  • Processes contracts to and payroll assignments for all undergraduate faculty.
  • Coordinates instructor edition and resource needs for all undergraduate faculty and, as needed, Disability Services.
  • Coordinates textbook needs each semester with the undergraduate bookstore.
  • Provides support for hiring process administrative tasks as directed.
  • Assists, as directed, with building and modifying undergraduate course sections in Colleague.
  • Manages internship application workflow processes.
  • Sends and updates Academic-related communications, as directed.
  • Assists faculty with classroom preparedness needs, including keys, testing materials, and general supplies.
  • Maintains faculty distribution lists and contact information.
  • Supports departments in planning and managing Academic-related events.
  • Oversees Testing Services Operations.
    o Implements process updates and communicates changes to all stakeholders.
    o Monitors and coordinates Testing Services requests from and with faculty and students.
    o Serves as primary exam proctor.
    o Coordinates and manages back-up exam proctor staffing.
  • Completes other duties as assigned.
Qualifications
  • Associate degree
  • Excellent communication and customer service skills
  • Extensive knowledge of Microsoft programs including Outlook, Word, and Excel
  • Ability to multi-task and prioritize work
  • Ability to work with considerable independence
  • Well-developed time management and project coordination skills
  • Experience with Perceptive Content and Colleague, preferred
