Box Office Manager



Shenandoah Conservatory is seeking applications for a Box Office Manger. This is a fulltime, benefited position located on our main campus in Winchester, VA.

The Box Office Manager works under the direct supervision of the Executive Director of Conservatory Performances & Engagement, and is a key team member of Shenandoah Conservatory’s General Management staff. The Box Office Manager oversees all critical functions of the conservatory’s box office operations, including regular administration and maintenance of the Tessitura database; processing approximately $1 million in ticket sales, renewals, group sales, and donations; running ticket reports; overseeing the tasks of the Assistant Box Office Manager; ensuring exceptional customer service for our patrons and donors; and assisting with audience engagement and development by coordinating, designing and sending patron communications. With more than 150 ticketed performances year-round, including a busy summer musical theatre season, the Box Office Manager works 35 hours per week, including performance nights and weekends.

Responsibilities:
  • Serve as Shenandoah Conservatory’s main Tessitura database administrator:
    • Create and run daily reports and other reports as requested
    • Run necessary system/software updates and troubleshoot technical issues with Tessitura customer service
    • Establish and terminate user access
    • Create and update a Tessitura users manual with policies and procedures
    • Run patron duplication reports on a weekly basis and resolve any duplicate patron files
    • Ensure that patron files are updated regularly, and include appropriate tags and attributes
    • Manage front-of-house point of sale hardware, including computers, ticketing terminals, printers, and ticket scanners
  • Process and oversee ticket orders, group sales, subscriptions renewals and donations by phone or in person using Tessitura software during regular box office hours and during performances
  • Manage financial operations, reconciling ticket sales and donations through daily reports, processing and accurately posting all receipts and deposits, generating and approving all renewal letters for subscription packages; and updating training manuals as needed to address changes in policy and procedures
  • Collaborate with marketing staff to create and implement effective marketing campaigns, which utilize Tessitura’s segmented marketing capabilities and analytics, and realize tangible gains in ticket sales and audience engagement
  • Manage and assess performance of Assistant Box Office Manager, ensuring that staff/students are trained, scheduled and mentored effectively
  • Set-up events in Tessitura, ensuring authorized capacity regulations and ADA compliance
  • Manage ticket holds for artists, press, house seats, Advancement, Dean’s Office and President’s Office
  • Provide staff support and oversee front-of-house (box office staff, ushers, and house management) during ticketed performances and special events, which take place year-round on evenings and weekends on- and off- campus
  • Troubleshoot front-of-house and ticketing issues as they arise, providing exceptional customer services
  • Communicate with patrons and donors in person, on the phone and via email correspondence
  • Ensure a safe and professional environment at all times
  • Order supplies and equipment for the box office as needed
  • Other duties as assigned
Supervision

The Box Office Manager reports directly to the Executive Director of Conservatory Performances & Engagement.

This is a 12-month full-time position with benefits. Ability to work evenings and weekends required.

Required Skills

Qualifications:
  • Minimum two years box office or equivalent experience
  • Excellent communication and organizational skills
  • Strong customer service skills and ability to troubleshoot problems particularly in high-pressure environments
  • Exceptional time management skills
  • Strong attention to detail and follow through
  • Personnel management experience
  • Basic banking practices and accounting experience
  • Marketing, graphic design and communications experience preferred
  • Computer proficiency in Mac and Windows environments
  • Bachelor’s degree with experience in the arts and customer service
  • Valid driver’s license
