The Department of Academic Affairs is seeking a Senior Administrative Coordinator for Faculty Data and Compliance (ADC) who will report to the Sr. Administrative & Operations Supervisor. The ADC is responsible for ensuring the collection, management, and distribution of all faculty data required for compliance, reporting, and accreditation. The ADC will also be responsible for managing faculty teaching evaluation reports and faculty onboarding and off-boarding.

The ADC will work collaboratively with all levels, including faculty, staff, and leadership. This position requires outstanding data management and interpersonal/communication skills, professionalism, independent judgment, and action. Independently make decisions regarding the interpretation of data and information and identification of issues that require the Associate Dean for Faculty Development or other JHSON Administrator's immediate attention. Understands and ensures compliance with the School of Nursing and JHU policies and procedures.

Specific Duties & Responsibilities:
Faculty Data
Maintenance and data reporting using the SON approved source of data system (Excel, Interfolio, AirTable)

  • Support and manage the faculty data management at the school of Nursing. This will include:
  • Attending conference calls/workshops and meetings on faculty data management
  • Develop and implement faculty guidance on how to validate faculty data
  • Provide support to faculty on managing and updating their information in the SON system
  • Use best practices to generate annual activity reports for each member of faculty to provide to senior leadership
  • Use the SON system to generate up-to-date faculty CVs and manage and distribute these as appropriate
  • Provide updates and recommendations to Supervisor on process improvement opportunities with data systems
  • Alongside the Academic Program Manager, prepare data and reports for accreditation visits
  • Faculty Teaching Evaluation

    • Ensure student course evaluations are set up within EvaluationKIT (or approved software) by the beginning of each semester
    • Provide regular individual course evaluation summary reports by course and faculty by semester, year and store these reports in the R drive
    • Prepare an excel document with individual course evaluation data by semester and program and reports with mean subscale scores and mean total scale scores by course by semester and by program and bar charts with mean subscale scores and total scores by course by semester
    • Before evaluations go out to students - check to ensure that information (faculty name, course name, semester, etc.) is correct

    Master Evaluation Plan

    • Enter data into the SON Master Evaluation Plan (MEP) such as NCLEX pass rates, data from national student satisfaction surveys such as EBI/Skyfactor
    • Enter Graduate Certification rates into the MEP
    • Enter other data into the MEP as directed by the Associate Dean for Teaching and Learning

    Compliance, Onboarding, Appointments, Promotions, & Off Boarding

    • Full-time Faculty and Postdoctoral Compliance using the Castle Branch employment screening system
    • Pre-Employment (occupational health visit, background check, etc.) Orient faculty to Castlebranch or other compliance management system
    • Post-Employment (monitor faculty annual compliance requirements, alert faculty members not in compliance and if no response, alert Associate/Vice Dean Evaluator; prepare annual report of faculty compliance with compliance requirements for Executive Vice Dean, March 1 each year)
  • Ensure that the School of Nursing's Appointment and Promotions Committee and Academic Council have faculty documents related to Time in Rank Review, Appointments,Promotions, and Tenure
  • Serve as liaison to the staff person for the School of Nursing's Appointment and Promotions Committee and Academic Council for matters related to faculty documents
  • Serve as an Administrator for lnterfolio, the JHU Faculty academic portfolio/dossier program
  • Coordinate onboarding and off boarding activities of faculty
  • Schedule, coordinate, and evaluate New Faculty Orientation in collaboration with Associate Dean for Faculty Development
  • Faculty Support

    • Award Nomination Packet Preparation with faculty for final review by the Supervisor
    • Compile Portfolio materials for faculty to be submitted for promotion via Interfolio

    Administrative Support

    • Support the faculty development activities of the Office for Educational Quality and Innovation
    • Support the faculty development activities organized by the Department
    • Draft recommendation letters
    • Document andmanuscript editing and formatting
    • Oversight of CV formatting, reviewing, finalizing
    • Literature searches
    • Sending correspondence
    • Research and grant support (editing and formattingd ocuments, RefWorks for citations formatting for journal)
    • Assisting with PowerPoint presentations and constructing slides
    • Support in meeting scheduling when needed

    Other

    • Maintain the Faculty Handbook and the Faculty webpages/bios in collaboration with Marketing and Communications
    • Ensure that all new full-time faculty have bios on their start date and arrange professional photos with Marketing and Communications
    • Submit new faculty announcements and off boarding faculty for publishing on SON Vitals
    • Provide help and assistance completing Tuition Remission Forms, as needed
    • New faculty onboarding for full time and Limited/ part time faculty and post-doctoral fellows (organizing schedule for first week, send welcome letter, work with Administrative Coordinators and Supervisor to ensure smooth onboarding)
    • Faculty orientation for full time and Limited / part time faculty (plan and execute 1-2 times/year for all new faculty)
    • Catering Arrangement
    • Reserve conference rooms
    • Zoom sessions (as necessary)
    • Misc. Duties asneeded
  • Obtaining Welch Library Access for NP Preceptors and other Adjunct Appointment faculty members as requested
  • Minimum Qualifications (Mandatory):

    • High School Diploma/GED.
    • Five (5) years progressively responsible administrative experience.
    • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.*

    * JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
