The Office of Financial Services seeks an assistant director of student financial services to join a team of professionals responsible for providing financial services to all enrolled students. The assistant director will help manage day-to-day operations including phone and walk-in customers and assist with outreach to specific groups of students. Reporting to the director of student financial services, the assistant director will assist with the assessment and collection of semester charges, and processing of financial aid. The assistant director participates in all aspects of the services provided by the Office of Student Financial Services with a key focus on providing excellent customer service to students, parents, and the Colby community. The position helps to build strong relationships with other departments including but not limited to Office of Campus Life, Office of Admissions and Financial Aid, Office of the Dean of Students, Office of Off-Campus Study, Office of Information Technology Services (ITS), and DavisConnects. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES :
  • Assist students and parents in the application process for federal and institutional financial aid
  • Analyze and verify financial aid documents including the FAFSA, CSS Profile, and tax returns; correct and modify information as necessary
  • Perform need analysis to determine the financial strength of the applicant’s family, exercising professional judgement as situations dictate for both federal and institutional methodology
  • Package federal and institutional aid awards compliant with federal and state regulations and consistent with institutional policies
  • Collaborate with other Office of Student Financial Services and Office of Admissions and Financial Aid staff to ensure federal aid guidelines are met and financial aid awards are processed accurately
  • Assist with the tracking of students’ financial documents for all financial matters
  • Keep abreast of federal aid guidelines and policies pertinent to studying away
  • Gather and analyze enrollment and aid data as needed to complete internal quarterly grant reporting and outline fiscal year grant expense
  • Update Office of Student Financial Services websites and create new content as needed
  • Utilize PowerFAIDS or other software to support the entire financial aid process including document tracking, communicating with students and parents, performing need analysis, packaging awards, disbursing financial aid, and providing aid information
  • Counsel students and parents in all areas of financial matters including financial aid and student employment policies and procedures as well as the billing process
  • Participate in the collection of student account receivables and exercise judgement in the assessment of late fees and the determination of eligibility to participate in course and room selection
  • Commit to and provide customer service excellence in support of students, parents, faculty, and staff
  • Perform additional duties as assigned; duties, responsibilities, and activities may change at any time with or without notice
QUALIFICATIONS :
  • Bachelor’s degree or the equivalent in education and experience
  • Minimum of 1-3 years of experience working in an intense customer service environment
  • Excellent written and oral communication, analytical, and critical thinking skills
  • Demonstrated computer skills with working knowledge of e-mail and network applications and all Microsoft Office programs
  • Knowledge of financial aid and experience working in a financial aid position a plus
  • Familiarity with tax forms preferred
  • Experience with financial aid software, PowerFAIDS, a plus
  • Proven organizational skills
  • Strong, self-motivated work ethic
  • Appreciation for the value of a liberal arts education and of diverse cultures, backgrounds, and experiences
  • Experience with data integration relating to financial aid and student financial records useful
  • Must possess creative initiative, flexibility, and high motivation
  • Proven ability to work independently and as a member of a team, exercise discretion, and work collaboratively as a member of a diverse community
KEY RELATIONSHIPS :

This position interacts with students, parents, faculty and staff, and outside constituencies.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS :

General open office and campus environment. Position involves sitting, although frequent movement is necessary. Computer usage involving repetitive hand/wrist motion is also necessary. Lifting up to 30 lbs. may be necessary.
