UW Bothell Student Engagement & Activities (SEA), is excited to hire an Assistant Director of Student Engagement & Activities to join our fun, dynamic team of student affairs educators. In SEA, we create environments for students to be extraordinary; we ground our work in student leadership and social justice. SEA has 6 professional staff who mentor and support the engagement of 30+ student staff; together we support 80+ student clubs and implement more than 400 programs and events with combined attendance of more than 20,000 students annually. We are a busy office that is actively engaged with student leaders to create learning environments for students outside of the classroom.

The Assistant Director of Student Engagement & Activities will be integral to these efforts as they provide vision and leadership to one of the high-profile student organizations under the advising or supervising purview of SEA, either as the primary adviser UW Bothell’s student government, the Associated Students of the University of Washington Bothell (ASUWB) or to Club Council and the registered student organization program.

Both of these student organizations seek to enhance the entire student experience by promoting student interests in their respective content areas. They are passionate advocates for student voice, diversity and social justice, and accessible resources for students of all identities and needs. These students will look to the Assistant Director for support navigating university policies and processes, mentorship, identity development, and risk management so that their initiatives effectively engage all identities, experiences, backgrounds, and abilities. The Assistant Director will also supervise one of the other departmental student organizations, such as Campus Events Board (CEB), the social justice and civic education program, Project Assistants, or Student Media Groups as necessary.

The Director will look to the Assistant Director for leadership in managing the day-to-day operations of the Student Engagement & Activities department and for their effective support of 1 to 2 professional staff Program Managers who each oversee multiple programs and supervise student staff themselves.

In this role, you’ll love the close mentoring relationships you build with students, the positive and collaborative team of professional staff who genuinely care about equity and one another, and having the flexibility to be creative with your programming. This role would be a great fit for a current student activities professional that is familiar with student government, student leadership development, and or student organization management; however, we’re excited to see any candidates that bring experience and passion for advising student leaders and that have an understanding of identity, power, and privilege.

RESPONSIBILITIES:

Department management :

• Manages day to day operations and significant programmatic aspects of department functions – collaborating with other staff or departments as needed.

• Under the general direction of the Director of Student Engagement & Activities, will actively participate in the planning and implementation of strategic initiatives to improve effectiveness of services to students, consistent with Division of Student Affairs values and institutional mission and strategic plans.

• Assume a leading role in the design, implementation, and assessment of student activities, diversity and social justice efforts, and leadership initiatives. Responsible for purchasing, preparation of contracts and other related documents, and event and operation risk management within these areas.

• Oversee operation and continued development of high-profile student organizations and other student organizations, which may include registration and orientation process for clubs, funding use guidelines, event policies, and related student support development programs; or support for student government election and complaint adjudication policies, implementing mechanisms for productive student government involvement in university operations and decision-making, and creating structures for effective communication between student government and university administrators; review, update, develop, and promulgate related policies and procedures regularly. Create significant wrap-around support resources for students in high-profile organizations and students at-large.

• Using discretion and autonomy, collaborate with faculty, deans, directors, and others to build collaborative structures to integrate Student Engagement & Activities broadly into students’ experiences.

• Respond to and resolves concerns and crises related to student activities programs, departmental policy, and student behavior in areas of responsibility, in collaboration with director.

• Develops, proposes, and manages several budgets to strategically support programs in area of responsibility, including budgets using state funds, student fees, and gift funds.

• Manage significant resources that aid in student involvement, such as co-managing, with colleagues at Cascadia College, the Involvement and Leadership Office in the Activities & Recreation Center and other department-operated student facilities; or providing administrative leadership and support for the campus’s web-based student involvement software platform, including training, troubleshooting, deployment of new functions, managing data uploads, and promulgating use in assessment.

• Lead program assessment and evaluation including data collection, data management, dissemination, and consultation. Conduct data analyses using a blend of quantitative and qualitative analysis techniques as necessary. Facilitate the use of assessment findings for continuous improvement.

• Be knowledgeable of applicable federal, state, university, and divisional policies and procedures regarding operations, including expenditures of funds, and educate professional and student staff on the practice and rationale of these rules. Stay apprised of changes in federal and state mandates and university policies and ensure that programs remain in compliance.

• Keep Director of Student Engagement & Activities apprised of emerging or ongoing issues in areas of responsibility.

• May represent Director in relation to student involvement programs, facility management, partnerships with other departments or schools, budget development and purchasing approval, and at institutional committees across campus.

• In absence of Director of Student Engagement & Activities, assume departmental leadership and decision-making authority.

Supervise, recruit, train, and evaluate professional and student staff :

• Serve as primary supervisor to 1-4 program managers and/or program assistants; mentor in theory and practice of student activities, leadership, diversity, and assessment; conduct performance evaluations and provide feedback at regular intervals and as needed. Resolve complaints and grievances as they arise.

• Recruit, hire, train, advise, supervise, and evaluate student staff in high-profile student organization including student government or Club Council. May take responsibility for one or more other departmental student organizations, including Campus Events Board (CEB), the social justice and civic engagement program, Project Assistants, or Student Media Groups as necessary.

• Advise student staff on budgeting, program design, and implementation of programs, events, and initiatives.

• Meet with students to provide organization advising, one-on-one advising, and event/program advising. Make referrals to appropriate resources as needed.

• Develop, assess, and revise learning outcomes for professional staff, student staff, and the department programs.

Administrative and operations management of Student Engagement and Activities

• Active involvement and oversight of reconciliation of Student Engagement & Activities budgets from a variety of funding sources, including state funds, student fees, and gifts.

• Ensure the department is prepared for small and large scale emergencies through sound risk management principles and effective crisis response.

• Stay well informed concerning best practices and network with colleagues via professional associations.

• Act as a resource and liaison with other University Departments regarding opportunities for partnership and program development.

• Staff major university events and programs as needed, such as Convocation, Commencement, and Orientation.

Other duties as assigned

• Serve and participate on Division of Student Affairs and other University committees as assigned or designated; work cooperatively with colleagues on campus and at other institutions.

• Other duties as assigned by the Director of Student Engagement & Activities and the Dean of Student Affairs.

MINIMUM REQUIREMENTS:

• Bachelor’s degree in Student Development, College Student Personnel, Education, Counseling or related field.
• At least three to four years of experience in student activities programs or related college student advising functions.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS:

• Experiences with leading dialogues and facilitations, student advising, and program development/implementation
• Experience supervising and mentoring student staff.
• Experience in budget development and management.
• Experience developing and implementing policy and mitigating institutional and programmatic risk
• Experience supervising professional, classified, or graduate assistant staff.
• Ability to work effectively in collaboration with other administrative units.
• Experience working with a diverse community and commitment to diversity and social justice.
• Computer literacy and proficiency in Microsoft Office Suite

DESIRED:

• Demonstrated knowledge of student development theory, adult learning, and/or organizational psychology.
• Demonstrated knowledge of theoretical models of leadership
• Familiarity with student engagement software platforms
• Multiple years of experience supervising professional staff
• Superior training and interpersonal skills

WORKING CONDITIONS:

• The Assistant Director is expected to attend major student activities and events held on campus and in the local community. The Assistant Director has regular and frequent contact with students engaged in a variety of clubs and organizations (including committees and boards). This position requires frequent contact with faculty, staff, and administrators. A work schedule that fluctuates due to after-hours activities, meetings, and events is common. Evening responsibilities are frequent and weekend hours occur occasionally.
