University Health Services (UHS) is a system of care which includes clinical (medical and psychiatric), billing, benefits, finance and administrative functions. Our mission is to provide high quality, readily accessible health services to all students, house staff, post-doctoral fellows and trainees, and their eligible dependents at the Johns Hopkins East Baltimore campus. UHS-Mental Health (MH) is seeking a Senior Clinical Program Coordinator to assist patients and health care providers while ensuring efficient and effective UHS-MH operations and smooth functioning day to day clinical office.

This position provides assistance to the UHS-MH program manager in addition to being a liaison between UHS-MH and various health care entities, directing the flow of UHS-MH patients to a variety of health care specialists while serving as a resource in the team environment. This position assists with coordinating patient flow, troubleshooting and resolving problems, as well as tracking and producing monthly utilization and productivity reports.

This role is a 1.0 FTE full-time staff position and reports to the UHS-MH program manager. The successful candidate, working collaboratively with the UHS-MH program manager, clinic nurse and the UHS nurse manager, will help create and maintain an environment of patient-focused care, anticipating and appropriately responding to UHS-MH patient population needs and ensuring the overall UHS-MH experience meets or exceeds standards of medical care.

Specific Duties & Responsibilities:

Student-Facing Responsibilities:

  • Professionally and efficiently handles incoming requests from patients and ensures that the issues are resolved promptly and thoroughly including prescription request orders
  • Promotes the goals of UHS-MH consistent with the UHS mission as outlined in the UHS mission statement
  • Assists with supporting physicians with insurance preauthorization processes by submitting necessary information as instructed by the physicians
  • Answers UHS-MH telephones, retrieves phone messages, provides routine information to callers, and refers patients to appropriate resources per UHS-MH policy and procedures
  • Follows up and tracks patient appointments to ensure continuity of care
  • Sends appropriate e-mail and/or phone call follow up correspondence regarding missed and no-showed appointments
  • Refers patients to appropriate resources/clinical areas
  • Assists with students in crisis, issues or concerns
  • Facilitates hospitalization or emergency room visit for learner/student when indicated
  • Coordinates and schedules follow-up care for patients including appointments, lab tests, specialty referrals, and other procedures as directed by providers

Systems Management & Reporting:

  • Works with UHS-MH Program Manager, UHS-MH Director, and UHS Clinic Manager and health care providers to establish policies and procedures where changes are needed
  • Meets on regular basis with UHS-MH Program Manager to update on operations and utilization/productivity, problem solving, and other issues as needed
  • Attends required team meetings for collaboration with UHS-MH staff
  • Follows UHS-MH policies and procedures as outlined in administrative meetings, internal documents, emails and memoranda and assists with the shaping and implementation of such policies as requested
  • Promptly reports all clinical issues that might affect our students and trainees to the UHS-MH Program Manager
  • Develops reports to track referral patterns, data regarding provider availability, appointment wait times, missed appointments, clinic utilization, and other as needed
  • Assures that policies, procedures and operations meet required HIPAA guidelines; assists with monitoring clinic compliance with quality assurance guidelines and making arrangements for implementation
  • Assists with issues related to patient complaints, issues with prescription requests/pharmacies, health care providers’ concerns, and operational issues
  • Responds to and tracks all medical records requests
  • Assists with completing on call calendars
  • Assists with on call system management
  • Assists with managing provider templates
  • Distributes and collects satisfaction surveys; enters data and assists in preparing reports as directed by the UHS-MH Program manager

Outreach, Training & Education:

  • Assists in training other staff
  • Develops and distributes appropriate marketing materials
  • Assists with clinic outreach

Other Responsibilities:

  • Orders supplies and submits invoices/bills for payment using SAP system
  • Coordinates maintenance and servicing of office equipment
  • Performs other duties and tasks as assigned

Minimum Qualifications (Mandatory):

  • High School Diploma/GED and five years related experience required
  • Bachelor’s Degree preferred
  • Training preferably in counseling, social work, psychology, education, or other related medical field
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula
  • Prior experience working in a mental health care-related delivery setting and/or academic mental health medical setting and serving student and trainee populations similar to the Schools on the Johns Hopkins East Baltimore campus strongly preferred

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
