Position Summary
Student One-Stop Specialist ( SOSS ) staff the Washburn University Welcome Center and are expected to exude professionalism and discretion through personal interactions. In addition, the Specialist serves as a representative of the University to visitors, potential students, parents and other members of the public who seek information about and assistance from Washburn University. The Student One-Stop Specialist serves with a high level of conscientious quality customer service.
Essential Job Functions of Position
Provide assistance and information to current students, parents and University faculty and staff. May need to respond to questions relative to any faction of the University. The primary focus and field of expertise will relate to Admissions, Financial Aid, University Registrar, and closely related departments involved with student payments and records.
Explain procedures, policies and requirements, and respond to questions from prospective and current students in the initial stages of application for admission and enrollment to help them understand processes and requirements for attendance at Washburn University.
Assist students with enrollment and course changes. Assist International students who need an apostille.
Process returning student applications, education verifications from businesses, and the 60+ auditing applications.
Manage and fulfill transcript requests. Download and save to appropriate file(s) all incoming electronic transcripts. Problem solves NSC transcripts with error messages.
Manage deferment forms for students with federal loans and all withdrawals on the cancel class listserve. Enter name changes in the appropriate database.
Formulate appropriate responses or actions to address issues related to admission status, student records, Title IV eligibility, financial aid disbursement, cost of attendance, tuition billing, payment processes, and other concerns. May refer complex and critical issues to appropriate staff to facilitate an accurate and timely resolution.
The SOSS will cross-train in tangent job functions with other departments in the unit.
Develop and distribute communications from departments across campus to students to explain changes in policies and procedures to help students access and comply with University requirements.
Recommend changes and modifications in University policies and procedures to administrators to provide improved services to students.
Participate in meetings, seminars and other events to keep apprised of changes in policies, regulations and procedures related to enrollment and attendance at Washburn University.
Perform additional job-related duties as assigned or as appropriate.
Non-Essential Job Functions of Position
Education and Experience
High school diploma, GED, or equivalent.
One year of experience providing customer service and administrative support. Or a post-secondary degree, or certification in Office Management/Support.
Preferred: Bachelor’s Degree.
Knowledge, Skills & Abilities
Demonstrated problem solving, organization and prioritization skills.
Ability to work efficiently and effectively in a fast-paced environment that imposes frequent interruptions and fluctuating workloads.
Effective communication skills with ability to communicate clearly and concisely with tact and diplomacy.
Preferred: Knowledge of University policies, services, procedures and/or software systems.
