Job Summary

Reporting to the Associate Director of Administration, this position will serve as a laboratory administrator for the Department of Chemistry and Chemical Biology. The incumbent will be deployed to various labs across the department to serve as interim coverage for leaves, absences and for assistance on projects and to manage workload.

Basic Qualifications

A minimum of five years' administrative experience in university and/or research laboratory setting.

Additional Qualifications and Skills

Bachelor's degree strongly preferred. Knowledge of/or familiarity with federal grant policies and procedures strongly preferred. Knowledge of Harvard systems desirable. Proven ability to work independently and flexibly under pressure. Excellent organizational, interpersonal, problem-solving, and decision-making skills. Excellent oral and written skills are essential. Computer experience required with proficiency in Word, Excel and PowerPoint and knowledge of web-based applications.

Position Description

In the capacity of Lab Administrator, the incumbent will be responsible for a variety of tasks including:
  • Manages administrative operations and financial, physical, and personnel resources for faculty member with research group of 12+.
  • Liaises with lab, departmental, University, and external personnel.
  • Collaborates with Sponsored Research Administrator on grants administration including resource allocation, preparation of applications, budgets, progress and final reports, and monitoring/forecasting of all sponsored funds.
  • Oversees non-sponsored funds.
  • Prepares and processes all financial transactions.
  • Meets non-sponsored submission and reporting deadlines and approving financial data for annual and final reports.
  • Designs and implements SOP's and administrative systems for group.
  • Communicates with Department FMO and oversees maintenance and repair of lab facilities.
  • Composes, types, edits correspondence and reports.
  • Researches and prepares information for special reports.
  • Responsible for IT management including maintenance of group web pages, upkeep of software and computer systems, and interfacing with FAS IT support.
  • Oversees compliance, safety officer and other functional areas.
  • Manages complex appointment/meeting schedules and travel arrangements.
  • Performs other duties as required.
