Summary/Objective

The Office of Human Resources is recruiting for an Education Benefits and Compliance Coordinator to join the HR team in support of our American University community. The Coordinator is responsible for the administration of education benefits for our employees and their families. This position offers an opportunity to work with employees across the University in support of one of our most popular benefits. This includes the tuition remission benefit for eligible employees and their spouses or domestic partners and a full scholarship for their eligible children to attend American University, or the tuition exchange benefit for eligible dependent children to attend another institution participating in the tuition exchange program. The Coordinator will host and facilitate education benefit information sessions a few times per year.

In collaboration with the Assistant Director, Benefits Compliance & Retirement, the Coordinator is responsible for ensuring compliance of the university’s health and welfare plans and retirement plans reporting and disclosure requirements

Essential Functions
  1. Administers the university’s educational benefits program in accordance with university policy and in compliance with federal tax code. Administration of the educational benefits to include tuition remission, Tuition Exchange Scholarship, and cash grant programs. Responds to faculty and staff member questions regarding the educational benefits programs and delivers educational benefits presentations in person and virtual. Administers the online tuition remission application process and works closely with Financial Aid and Student Accounts to ensure tuition remission is posted in a timely manner. Ensures appropriate documentation is obtained to validate spouse and child eligibility for benefits when required. Determines the taxable portion of employee, spouse/domestic partner, and dependent child tuition remission benefits in accordance with IRS regulations, and ensures taxable educational benefits are properly reported through university HR/Payroll system. Maintains the applicant/participant databases for each of the educational benefits programs. Creates and maintains key educational benefits deadline schedule for each semester and disseminates deadline information and other educational benefits-related updates, as appropriate. Creates and distributes calendar year tuition remission utilization letters to employees. Maintains and updates educational benefits information in benefit manuals and online.


Essential Functions Continued

  1. In collaboration with the Assistant Director, Benefits Compliance & Retirement, work with health & welfare, retirement vendors and internal communications team to distribute required notices yearly, such as the Safe Harbor notice, Summary Annual Reports (SAR) for the Health & Welfare and Retirement plans, Fee Disclosure notice, Children’s Health Insurance Program (CHIP) notice, Women’s Health Cancer Rights Act notice and Health Insurance Portability and Accountability Act (HIPAA) notice. Regularly identifies and notifies employees eligible for health coverage under the Affordable Care Act (ACA). Prepare drafts of Patient-Centered Outcomes Research Institute (PCORI) fee request for review and approval, requests and mails payment to government agency. Partners with other departments to provide data for insurance policy renewal and request insurance policy renewal information for retirement plan audit. Supports the Assistant Director, Benefits Compliance & Retirement with requesting data for filing forms 5500 for health & welfare, and retirement plans. Monitors and stays current on changes to state and federal employment laws.
  2. Provides support as a member of benefits team in the following areas: counseling faculty and staff members with general benefit inquiries, answering inquiries regarding benefit plan changes during annual open enrollment period and at other times during year as changes are implemented, assisting in the preparation of benefit materials for mailing to active and retired faculty and staff members.

  • Travel may be required to off-campus locations within the metro DC area.

  • This position offers a hybrid work schedule with some days onsite and some remote. Current expectation is 2 days onsite and 3 days offsite per week.

Required Education and Experience
  • Bachelor's degree
  • 1-3 years of relevant experience
Preferred Education and Experience
  • 2-4 years of relevant experience
Additional Eligibility Qualifications
  • Authorized to work in the United States.
  • CEBS certification or other benefit certification(s) desirable.
  • Excellent oral and written communication skills are necessary.
  • Required to be able to manage priorities and work under pressure.
  • Proficiency with Windows based applications, such as MS Word, Excel, PowerPoint, Access, other database, and presentation software.
