Class Description

The purpose of this class is to oversee the data collection, degree audits and support those involved in the graduation process for the college from the Registrar’s Office.

Minimum Requirements

Associate’s Degree in Business, Information Technology or related field. Five (5) years of the following experience is required:
  • Customer service experience, obtained working in an office environment
  • Data entry
  • Document imaging
  • Proficient with all Microsoft Office software
Prior experience with student information systems preferably Banner, Degree Audit software and/or Degree Works preferred. Must be able to work some evenings and an occasional weekend.

Class Specific Essential Duties

  1. Serve as a project manager for the graduation function.
  2. Process graduating students and perform initial and final graduation audits.
  3. Create and maintain policies and procedures related to the degree audit.
  4. Maintain up-to-date graduation requirements, including program changes, course changes and general education requirements.
  5. Maintain appropriate data in Banner tables along with the Assoc. Registrar and Registrar.
  6. Organize and implement graduation process for annual graduation and commencement.

Position Specific Essential Duties

  1. Serve as the central resource to address students, graduation staff, and other CCBC personnel inquiries relating to graduation audits.
  2. Work collaboratively with academic schools, to ensure students are on track in meeting degree requirements for graduation and ensure substitutions and waivers are submitted timely to support graduation and compliance related processes.
  3. Supervise the collection of all graduation applications and ensure:
a. timely data entry into the student data system (Banner)
b. accurate documentation of degree audits including producing transcripts
c. graduation applicants receive timely communication regarding degree audit
  1. Prepare college wide lists of all CCBC graduates utilizing college reporting software (e.g.ARGOS).
  2. Responsible for providing college-wide graduation data for CCBC commencement, and organizes, delivers and distributes various graduation materials for the ceremony.
  3. Assist Associate Registrar with finalization of graduate file for diploma print. Utilize diploma print software for production of diplomas.
  4. Assist the reverse transfer initiative, ensuring participants meet CCBC and COMAR graduation requirements.
  5. Provide statistics and generate reports as needed for the Registrar and Associate Registrar.
  6. Responsible for generating data edit reports and the coordination of data clean up to ensure data integrity, supporting internal and external reporting.
  7. Responsible for monitoring and addressing questions related to graduation and commencement from students, faculty, and staff through the graduation vanity email.

Long-Term Disability

The Roth 403(b) savings feature allows employees to contribute after-tax dollars and then withdraw tax-free dollars from their account upon retirement. The Roth 403(b) savings feature is only offered by the following vendors: TIAA-CREF and VOYA Financial Advisors, Inc. Adjunct Faculty, Part Time Associates and Full Time employees are eligible to save for retirement using the Roth 403(b) savings feature. Employees may contribute traditional pre-tax 403(b) dollars and Roth 403(b) post-tax dollars simultaneously. The savings limits are combined for the Traditional 403(b) and the Roth 403(b) contributions.
