General Administration
Position Description
Provides secretarial/administrative support to University Professor, including editorial work, implementation of long-range plans, and daily management of all office functions - mail, calendar, contacts, telephone and data plan - and financial responsibilities. Monitor research funds; prepare budgets; process payments and reimbursements. Assist with grant preparation and administration. With the assistance of the Department Administrator, hire, train, and supervise student employees. Help prepare syllabi and course packets. Help prepare presentation and lecture materials, and assist with complex research requests. Order supplies and books, place library materials on reserve, distribute work to teaching fellows and research assistants. Coordinate and negotiate logistics, contracts, and payments for domestic and international speaking engagements, lectures, conferences, symposia, and seminars, including extensive travel arrangements. Responsible for professor’s website and archive, management of multiple computers and devices in various campus offices, and IT assistance when needed. Develop and maintain filing systems and database records. Compose and edit correspondence including memos, reports, letters of recommendation. Update Professor’s C.V. and bibliography and draft annual report on activities. Arrange meetings and coordinate events, including on-site and international conferences and seminars. Serve as principal contact and source of information for students, staff, faculty, external contacts. Receive visitors and answer routine inquiries. Answer and direct all calls, mail, and e-mail. May take and transcribe dictation or take minutes. Perform editorial duties, including typing and redaction of manuscripts, and copyediting. Serve as liaison to editors and publishers. Obtain permissions and copyright registrations. Manage files for ongoing professional and academic projects, including correspondence and other archival items; index and convey to storage. Perform off-site secretarial and research duties, chiefly filing and word-processing, at Professor's Widener office and finding books in the Harvard College Libraries. Other related duties as required.
