Process Improvement Project Manager

Clinical Practice Association Process Improvement is seeking a Process Improvement Project Manager who will be responsible for project management and identification, development and implementation, including providing staff support in planning and managing departmental and organizational initiatives and administrative projects. Facilitates information exchange between JHU/JHHS senior management and departments, Johns Hopkins Medicine (JHM) entities, vendors/consultants and outside agencies to achieve operational objectives and meet PBS, Revenue Cycle, and JHM strategic goals.

Will work with multi-functional/entity often geographically dispersed project teams, and attend enterprise revenue cycle workgroups, synthesizing and integrating information received to assist in the identification of initiatives, processes, and the technology changes that may impact the professional fee billing operations, or other areas of revenue cycle.

The employee performs a broad range of professional assignments. Will exercise independent judgment in carrying out assignments that have significant impact in improving PBS operational and system workflows. Is a senior staff member and a key participant in the change management process that includes being responsible for developing and executing internal and external communication strategies. Must be familiar with all administrative aspects of operations.

Specific Duties & Responsibilities:

Project Management

    Develops/documents project plans and timelines, holds project teams accountable for meeting deadlines and goals. Develops/documents issue-oriented work plan that will support creative problem-solving. Works closely with Directors to ensure the scope and direction of each project and initiative is on target. Drive projects from original concept through final implementation. Projects may span two or more organizational boundaries and follow Traditional or Agile project management practices. Focus on initiatives that help to run and grow the business.

Communication & Change Management

  • Conducts effective meetings to support problem solving and solution development.
  • Determines most effective communications for each situation.
  • Creates effective written communications to support understanding of issues and recommendations.
  • Presents findings and recommendations and accurately anticipates and addresses questions from / concerns of the audience.
  • Works closely with Directors in developing, and executing communication workflows and strategies to keep PBS leadership and staff informed of pertinent information, operational, system or business changes.

Relationship Management

  • Facilitates teams to support problem solving.
  • Collaborates internal and external revenue cycle stakeholders at all levels to facilitate change.
  • Provides leverage to Directors by establishing strong relationships with PBS and JHHS revenue cycle subject matter experts and functional leaders that support current and future work efforts.
Problem Solving

    Works with PBS core, Hospital, Access, clinic leadership and subject matter experts, to identify and assess key issues that require intervention and improvement in support of maximizing revenue streams, lowering cost and improving the patient experience. Uses analytic problem-solving approach that includes identification and execution of relevant quantitative analyses, interviews and surveys, and observations, together with developing process workflow diagrams. Synthesizes findings and develops recommendations to improve operational and system workflows.

Professional & Personal Development

  • Participates in on-going educational activities.
  • Assists in the training of staff.
  • Keeps current of industry changes by reading assigned material on work related topics.
  • Completes three days of training annually.

Department Specific Requirements

  • Working knowledge of JHU/PBS billing applications or the ability to pass requirements to receive access to billing applications.
  • Ability to pass requirements to receive access to Epic Access applications.
  • Working knowledge of regulatory compliance and HIPAA rules, regulations in the dissemination of patient Protected Health Information (PHI).
  • Ability to pass requirements to receive access to Epic Access applications.

Minimum Qualifications (Mandatory):

    A Bachelor’s Degree in Business, Health Administration, Project Management or related field is required. Master’s Degree preferred. Professional (PMP) or equivalent project/program management certification preferred. Minimum of five (5) years of project management and operational experience in clinical or healthcare business.
  • Additional experience may substitute for some education and additional education beyond minimum experience qualifications may substitute for required experience to the extent permitted by the JHU equivalency formula.*

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Special Knowledge, Skills & Abilities:

    Demonstrated experience working with a variety of people at all levels of an organization. Able to operate basic office equipment, e.g. photo copier, fax machine, scanner, PC, telephone, etc. Must be self-motivated and comfortable working independently, as a team leader and as a team member. Must demonstrate relevant experience in motivating people who may or may not be direct reports to work as a team in harmony with the goals of the project and the organization. Required to obtain Epic certification within six months of employment. Knowledge of project management, financial analysis, and business/strategic planning. Knowledge and experience related to project management and implementation of strategic initiatives. Ability to use PMIS to plan a project with tasks, efforts, and resources High level of interpersonal skill, written and oral communication necessary to interface with various levels of management. Ability to work independently and meet scheduled time frames; manage multiple projects simultaneously; and prepare oral and/or written presentations to senior management. Ability to lead by influencing, and motivating staff, project teams and workgroups to achieve project goals. Proficient in using MS Excel, PowerPoint, Visio, and Word. Strong analytical and critical thinking skills and the ability to work with large amounts of data, facts as well as figures and reach valid conclusions. Must have high level of spreadsheet, database, presentation, and project scheduling and word processing software skills. Ability to compile and coordinate high quality reports, proposals and written work product for customers. High level of meeting management, computer, teaching and training, organization and time management. High level of leadership/facilitation skills. High level of analytical ability necessary to identify and illustrate relationships among activities, recommend courses of action based on making choices among alternative and design recommended. Experience in managing projects in respective functional environment (Ops/IT) is a plus. Six Sigma or other operational improvement methodologies would be helpful.

Physical Requirements:

Supervision of Others:

  • Provides indirect supervision and leadership of staff as they are assigned to projects directed by this incumbent.
