TITLE: Retention Specialist
DEPARTMENT: University College
REPORTS TO: Director of Student Success and Retention
EFFECTIVE DATE: TBD
EMPLOYMENT STATUS: Full-Time
EMPLOYMENT CLASSIFICATION: Exempt
SCOPE OF RESPONSIBILITY:
University College at KSU serves all students to provide seamless, robust, focused, and comprehensive educational support. The Retention Specialist will join a team of outstanding individuals with diverse professional and personal backgrounds. The Retention Specialist will provide personalized, one-on-one support in navigating the road to academic success, and staying on track towards degree completion. Additionally, the Retention Specialist will provide instruction for KSU seminar courses.
ESSENTIAL JOB FUNCTIONS:
- Work with faculty and staff to develop and implement retention strategies, including intervention and early alert.
- Serve a part of the planning and implementation committee for orientation activities
- Match students with appropriate academic support and counseling services
- Maintain complete and accurate records showing the student’s major, career plans, and other related information.
- Maintain accurate records and data tracking mechanisms of students in the cohort
- Develop and implement a robust communication plan to facilitate outreach with the student cohort
- Assess institutional data and make recommendations for retention planning and implementation
- Assist in maintaining compliance with the Title III program grant
- Participate in University’s sub-committee(s) and ad hoc committee(s) when required
- Create informal engagement opportunities to aid with student retention through participation in student-based activities by serving as a mentor/advisor to key student groups
- Participate in student affairs and enrollment management programs during evenings and weekends;
- Track and assure correction and updating of student academic records.
- Assure collaboration among related offices (e.g., registrar, bursar, career services) to track and assist students in meeting their academic goals.
- Match students with appropriate academic support and counseling services.
- Participate in University committees and projects related to student learning and academic success.
- Participate in advising workshops and other professional development activities as they become available.
- Review and approve students’ proposed class schedules.
- Teach one section of KSU 118 each semester.
- Participate in outreach efforts to re-enroll students placed on academic suspension
- Work staggered hours including evening hours during the workweek as assigned
QUALIFICATIONS:
- Master’s Degree (required).
- 1-2 years experience working in Higher Education
KNOWLEDGE, SKILLS, and ABILITIES:
- Superior listening and critical thinking skills and the ability to multi-task
- Experience with retention data collection and reporting
- Working knowledge of postsecondary academic advising and retention strategies
- Candidates should have the ability to become knowledgeable of the range of varied student services available, enrollment services, academic policies, requirements, and procedures of Kentucky State University
- Strong interpersonal/human relations skills essential
- Ability to initiate and maintain professional relationships with diverse groups, demonstrate sensitivity to the needs of a diverse student population including low-income, first-generation, students of color, disabled, underrepresented, older and non-traditional, and international students
- Must have excellent verbal and written communication
- The ability to maintain confidentiality is essential
- Must have attention to detail
- Basic skills in productivity software (Word, PowerPoint, Outlook, Excel)
- Ability to collect, analyze and report retention-related data.
- Must be able to multi-task, prioritize, manage multiple priorities, and meet deadlines
- Must have the ability to work in a fast-paced environment and possess excellent organizational skills
- Ability to interpret and communicate university policies and procedures and associated federal and state regulations
PHYSICAL REQUIREMENTS:
- Work is normally performed in a typical interior/office work environment.
- No or very limited physical effort is required.
- No or very limited exposure to physical risk.
