Job Summary

The Admissions Communication Counselor performs various functions under the supervision of the Associate Director, Enrollment Services Communications, but works collaboratively with other units in Enrollment Management and Graduate Admissions and Program Evaluations to collect, synthesize, and deliver a variety of interdependent communication messages in support of recruiting, admitting, enrolling and retaining students to the university. The Admissions Communication Counselor performs tasks related to the functional and technical communication cycle between from point of pre-application through enrollment. This position provides accurate and timely information via the phone, email, messaging, social media, and other technology such as chat sessions, chat bot and virtual advising. Working under minimal supervision, the position is responsible for supporting a communication system that attracts, recruits, and enrolls academically qualified, culturally diverse, and socially conscious populations of undergraduate and graduate students. As a representative for San Jose State University, this position maintains a high level of knowledge of requirements, processes, and regulations to facilitate students’ decisions to apply and attend SJSU. The Admissions Communication Counselor will develop and maintain accurate and transparent documentation of the communication process and work flow in order to maintain levels of productivity, quality of counseling.

Key Responsibilities
  • Ensures the effective communication process (from recruitment to enrollment) to students and their families, and supports the yield process and activities for admitted students
  • Identifies, maps, and communicates the pre-admission to enrolled student process, addressing questions from students and parents regarding admission and enrollment at San Jose State University
  • Explains the CalStateApply application process from point of application to MySJSU account activation to point of attending the first term of classes. Reliably and accurately communicates this process using a variety of media to students, parents, and campus community members
  • Assists students by email, live chat and phone (and other forms of media) by answering questions during office hours and additional special hours. Responsible for explaining to students and parents the various documents that may be requested for the application process, including transcripts, test scores and documents related to domestic and international admission processes
  • Attends conferences and seminars regarding CSU admission eligibility criteria and processes
  • Reviews and verifies that appropriate documents have been submitted by the student to determine the student’s admission eligibility under the various Chancellor’s Office and campus regulations and procedures
  • Investigates complaints and questions from students who raise concerns about their progress in the application or admission process to a point of resolution
Knowledge, Skills & Abilities
  • Excellent oral and written communication skills
  • Excellent customer service and public relations skills
  • Ability to identify conflict, problem solve, and resolve student problems and concerns in the most efficient manner possible
  • Ability to reason logically; ability to collect, compile, analyze, and evaluate data and make verbal or written presentations based on these data
  • Ability to advise students individually and in groups on routine matters where required
  • Ability to perform accurately and consistently in a fast-paced, high-volume environment
Required Qualifications
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job‑related field
  • Two years of professional experience in one of the student services program areas or in a related field. A master’s degree in a job‑related field may be substituted for one year of professional experience
Preferred Qualifications
  • Bachelor’s Degree
  • 2 plus years of experience working in a student services position
  • Experience working with students providing education advising and counseling services
  • Experience with University policies, procedures, and working in educational environment in either Admissions or Records
  • Experience in analyzing and interpreting documents and requirements
  • Experience in disseminating information to other staff
  • Excellent written communication skills
  • Experience with PeopleSoft


Compensation

Classification: Student Services Professional II
Anticipated Hiring Range: $4,304/month - $4,395/month
CSU Hiring Range: $4,304/month - $6,120/month
