Position Summary

This position serves as a member of the Office of Admissions in the Division of Student Services with primary responsibility to direct the recruitment and admission of undergraduate students to Washburn University Institute of Technology (Washburn Tech). The position will assist in the design, implementation, and management of the Washburn Tech’s customer relationships management software (Recruit); oversee admissions data management processes and reporting; creating and managing data integrity and standard operating procedures; development and monitoring of admissions goals and benchmarks; supervise Admission Counselors; and provide expertise and supporting and enhancing processes within the student information system (Banner) and adopted Washburn Tech technologies.

Essential Job Functions of Position

Staff Management and Supervision: ·
  • Manage and Supervise Washburn Tech Admissions Counselors and Testing Coordinator: Direct, guide and coach Admissions Counselors in the management of assigned recruitment territories, monitoring their recruitment activities and communicating frequently to ensure the full and efficient performance of each staff member.
  • Provide technical support and training on admissions systems and processes to Admissions team members and other Washburn Tech staff.

Testing Services:
  • Direct Washburn Tech’s Testing Services ensuring efficiency in staffing, training, and budgeting of services.
  • In concert with the Testing Center Coordinator develop monthly (or as requested) services reports on center’s metrics and populations served.

Coordinate Admission Events and Activities:
  • Attend meetings and provide oversight of all facets of Admissions event planning (i.e., scheduling, budgeting and coordinating), offering advice and direction to ensure events are well-planned, announced and executed. Work with other Admissions staff to plan and host special Admissions’ events and campus visits to promote the University and encourage enrollment.
  • Work with a variety of internal and external partners such as instructors, marketing, high school counselors, principals, and local community members to create and implement differentiated and highly personalized marketing and recruitment plans.

Admission Territory Management:
  • Visit high schools, community colleges and other community agencies within an assigned recruitment territory to meet and establish/cultivate relationships with students, parents, school staff, and other individuals and promote attendance at Washburn Tech.
  • Develop and deliver presentations and/or meet with students and parents to discuss opportunities at Washburn Tech and answer questions they may have to give them the best understanding of the University possible.
  • Track student enrollment status, review their records and application data and maintain on-going contact with students to demonstrate individualized interest in their enrollment at Washburn Tech and ensure their questions are answered and concerns addressed.

Data Collection and Reports:
  • Lead and direct the implementation and use of the undergraduate admissions CRM (Banner) and work with other project leaders to realize implementation goals.
  • Within the CRM, create and improve business rules, electronic communication sequences, decision workflow, travel management processes and event operations.
  • Develop an understanding and knowledge of admissions data relative to inquiries, campus visits, applications, admits, enrollments by high school and by territory to use as a basis for planning, analysis and reporting.
  • Analyze data from past activities and produce and publish weekly reports reflecting Return on Investment ( ROI ) data for events, activities and travel by program and territory and other assessment measurements of admissions program effectiveness.
  • Apply in-depth knowledge of past recruitment effectiveness to assist the Assistant Dean and Director of Student Services with the development of annual recruitment and strategic enrollment management plans.
  • Collaborate with Washburn University (WU) Admissions partners to provide a holistic approach to recruitment/enrollment through the various Washburn Tech sites and locations.

Budgeting:
  • Manage Admission/Testing Services budgets, monitoring and approving expenditures as appropriate and necessary.
  • Assist the Assistant Dean and Director of Student Services in projecting office costs and expenditures.

Service to the Institution:
  • Participate as approved by supervisor on Washburn University, Washburn Tech, and community organizations as required to meet the strategic goals and mission of the University and Washburn Tech.
  • Perform additional job-related duties as assigned.
Non-Essential Job Functions of Position

Education and Experience

Bachelor’s degree and three years experience in recruitment, territory management, sales or marketing; or Master’s degree and professional experience in related areas. Experience supervising and leading a productive team.

Knowledge, Skills & Abilities

Proficient with Microsoft Office. Effective interpersonal and communication skills. Proven ability to multi-task, meet project deadlines, and handle a variety of assignments. Commitment to participate in professional organizations related to college admissions. An unwavering commitment to diversity, equity, inclusion and belonging and the demonstrated ability to develop rapport and professional relationships with a variety of individuals including those from underrepresented and diverse student populations.

Licenses, Certifications & Registrations

Valid driver’s license with acceptable driving record under University standards.

Flexibility to travel and work evening/weekend hours.
Ability to move and/or maneuver materials weighing as much as 30 pounds.
