Job Summary:
Provide strategic direction for the regional chapter program. Plan and execute initiatives to cultivate, recruit, and engage alumni, parents and friends throughout the country.
Education: Bachelor’s degree required.
Experience: At least 4-6 years experience in volunteer management, sales, special events or related experience. Excellent written, oral, interpersonal and communications skills required. Strong organizational skills with proven ability to work well under pressure, with multiple deadlines. Proficiency in Microsoft Office Suite, familiarity with Raiser’s Edge, Work Day and Anthology a plus. High level of attention to detail, ability to make independent decisions while also working in a team environment. Proficient with social media.
Work Conditions: Solo travel to achieve goals is required, which involves local and regional overnight travel and driving at night. Attendance at evening and weekend events required. A valid U.S. driver’s license is required and the ability to lift a minimum of 25 pounds is required.
Essential Functions:
- Plan, execute and attend regional events that foster
networking, lifelong learning, service projects, etc. that benefit
alumni and the University.
- Recruit, train and manage regional volunteers/leadership teams
who will work to represent Fairfield and advance regional
engagement and the University mission. Work collaboratively with
volunteers to develop, plan and execute programs/events/initiatives
in their regional areas. Maintain chapter volunteer handbook.
- Make discovery visits in regional areas, submit meaningful
contact reports following visits for the purpose of volunteer
and/or giving pipeline.
- Build and maintain strong relationships with volunteers through
personal visits, conference calls, zoom meetings, etc.
- Attendance at local and regional advancement special events
(Presidential Receptions, etc.) as Alumni Relations/Regional
Chapter representative.
- Manage the overall regional chapter budget, individual event
budgets/costs and individual event registration fees and APR
gifts.
- Determine ROI for all regional initiatives.
- Reconcile all event attendee post-event guests lists, code in
Raiser’s Edge, submit contact reports .
- Collaborate with Marketing and Communications teams in creation
of all event marketing materials and communications – print, web,
email, social
- Oversee management/creation of regional chapter related social
media accounts/posts.
- Obtain training in Cascade platform to maintain regional
chapter webpages. Collaborate as needed with marketing team in
creation of additional web pages.
- Oversee alumni calendar for weekly News@ (Fairfield
Newsletter).
- Use the Online Community (Anthology) to manage event
registration submissions, attendance lists, etc. for all regional
events. Work with Alumni Relations colleagues to ensure
registration forms are created/updated as needed for all
events.
- Maintain all calendars (Advancement Master Calendar, Alumni
Relations, Anthology, etc.).
- Collaborate with the directors of development on regional
expansion and engaging their prospects.
- Collaborate with campus partners on events and outreach.
- Liaison to the President’s office to recruit alumni delegates
for regional University inaugurations.
- Make a business case for adding and/or discontinuing regional
chapter locations
- Daily/as-needed assistance with Office of Alumni Relations
day-to-day functions (phones, visitors, mailings, etc.) as needed.
Staff support to fellow Alumni Relations staff on/before/after
events/as necessary.
- Participate in all required advancement organizational
meetings, retreats, annual planning, goals setting and
reporting.
- Assist and staff signature alumni relations events such as 50th
Reunion, June Reunion, Alumni and Family Weekend, affinity group
reunions, etc. as well as meetings of Alumni Association Board of
Directors.
- Assist and staff signature Advancement special events such as
STAGiving Day, Fairfield Awards, etc.
- Serve on University Committees as requested.
- Be a good steward of the Alumni House, indoors and outdoors, to
maintain as a premiere space on campus.
This position is based at Fairfield University’s Fairfield, CT campus.
