Job Description:
Basic Function and Responsibility:
Assist students and parents in understanding the federal, state, and institutional financial aid programs, regulations and processes. Assist in the application process by explaining and evaluating forms, documents and determining the completeness of a financial aid file. Coordinate dissemination of the financial aid information. Assist students who have filed for financial aid by providing financial options to pay for tuition and educational costs and serve as ombudsman for all financial aid recipients.
Characteristic Duties and Responsibilities:
- Track student documents and calculate need analysis to
determine eligibility of Title IV programs utilizing computer
support software.
- Apply state, federal and campus regulations to a student's
application for financial aid. Inform students and parents on
regulation changes and the effect on the financial aid
process.
- Determine award eligibility of all institutional, state and
federal aid programs. Package and certify federal student loans.
Perform verification on all required students as well as those with
conflicting information. Collect the appropriate residency
information for students eligible for state programs.
- Prepare correspondence to update students on the status of the
financial aid process. Document the outcomes of all information
submitted by the student in the file. Resolve problems during the
application process.
- Advise students with special circumstances. Collect and
interpret required documentation and effectively communicate
decisions. Counsel students and parents with complex, extenuating,
or unusual circumstances.
- Ensure that entrance/exit interviews for student loan
recipients are conducted. Monitor eligible student's enrollment
status during the academic year and notify lenders of enrollment
changes. Re-determine eligibility prior to disbursing loans.
Maintain accurate student loan check handling and record
keeping.
- Provide information about tuition payment options including
alternative loan programs. Certify and provide enrollment
information to alternative loan lenders. Re-determine eligibility
prior to disbursing alternative loans.
- Participate in Enrollment Center cross training activities.
Develop a sufficient level of knowledge in at least one other
student affairs functional area in order to provide more integrated
and comprehensive information to students, staff, and community.
Provide excellent customer service.
- As directed, provide financial assistance services in the
Enrollment Center.
- Present Oakton Community College financial assistance
information at high schools in the Oakton Community College
District, at Oakton Community College Night scheduled at community
groups or at special departmental programs.
- Assist in audits, program review, reconciliation processes and
preparation of eligibility rosters. Responsible for completion
requested forms from various agencies.
- Determine compliance with and advise students on the academic
progress requirements for the financial aid programs. Direct
students to academic counselors for advisement on the students
educational plan.
- Coordinate scholarship activities as directed, which may
include advertising, application processing, data entry,
notification, verifying student information, and determining
disbursement amounts. Maintain scholarship database and accurate
fiscal records including check handling and reconciliation.
Complete tasks related to Scholarship Banquet.
Provide support to the Scholarship and Financial Assistance Coordinator. - As directed, administer federal and state VA programs including
counseling students, submission of applications, verification of
enrollment, submission of electronic and/or paper rosters and
reconciliation.
- Coordinate the disbursement of federal funds with the business
office and verify payment made to the Oakton Community College
Bookstore via the usage of book vouchers. Coordinate the activation
of the third party billing process for eligible participants and
other outside agencies.
- Perform other job related duties as assigned.
Requirements:
Qualifications and Working Conditions:
- Associates degree required or an equivalent combination of
education and experience from which comparable knowledge and
abilities can be acquired is required.
- Two years experience in a financial aid office is
required.
- A high level of interpersonal and communication skills are
required. Incumbent must be able to give and receive advice and
opinions and interact with individuals in situations requiring
sensitivity and tact.
- Ability to proofread documents for errors and to utilize a
keyboard to enter, retrieve and manipulate data is
required.
- General office environment. Little or no exposure to adverse working conditions.

Supervision Received:
General Supervision is received from the Manager of Student Financial Assistance
Supervision Exercised:
Functional supervision may be exercised over two student employees.
HOURS: Monday - Friday 8:15 am - 5:00 pm
SALARY: $47,712-
Based on the needs of the college and with Administrator approval, some positions at the college may have remote or hybrid schedule options available. Please note, that during the 65 working day probationary period, employees are required to report to campus.
