Job Description:

Basic Function and Responsibility:

Under general supervision, responsible for maintaining accurate accounting records to assure compliance with established policies and procedures of the College. Analyzes accounting data and transactions as well as reconciles bank accounts. Reviews and enters invoices for payment in compliance with college procedures. Assists with annual audit preparation. Evaluate the adherence to College accounting policies and procedures and recommend changes to policies or procedures.

Characteristic Duties and Responsibilities:
  • Review cash disbursements for adherence to procedures and policies and ascertain the extent of the protection, accounting for and safeguarding of College assets.
  • Reconcile General Fund, Payroll, Credit Card, tuition refund, and other smaller bank accounts.
  • Monitors collateral for college bank accounts.
  • File sales tax returns and make monthly payments.
  • Maintain and prepare unclaimed property filing for the state.
  • Annually observe inventories of Bookstore and in-house supply and prepare reconciliation of related financial records.
  • Adjust payroll liability and other accounts as assigned.
  • Conduct periodic cash counts of change funds, prepare special reports, statistics, or statements as requested.
  • Prepare reconciliation of the fixed asset inventory with the financial records, observe the fixed assets at fiscal year-end, and review related year-end report from Purchasing.
  • Enter and review invoices for administrative approval, verify appropriate ledger account coding, and verify budget availability in conformance with procedures.
  • At fiscal year-end, verify that complete purchase orders are closed in the financial system.
  • Receive from vendors and maintain W-9 documentation and ensure proper 1099 reporting at the end of the calendar year.
  • Respond to employee and vendor inquiries.
  • Track and monitor Board Approved purchases.
  • Evaluate the adherence to College accounting policies and procedures and recommend changes as appropriate.
  • Assist external auditors, prepare audit work papers, and post fiscal year-end journal entries.
  • Assist Accounting Supervisor with preparing the monthly and fiscal year-end adjusting journal entries and preparation of quarterly investment reports.
  • Upload student ACH files daily to the College's bank account.
  • Other accounting and job-related duties as assigned.

Requirements:

Qualifications and Working Conditions:
  • Bachelor's degree required in Accounting or a related field and/or equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
  • Five years experience in accounting, auditing, or related areas.
  • CPA desired.
  • Microsoft Office proficiency (Word and Excel).
  • Ability to interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experiences, and to exhibit an adequate level of respect to fellow employees and the College community at large.
  • Work is performed in a general office environment and is sedentary in nature. Little or no exposure to adverse working conditions.

Supervision Received:

Functional supervision is received from the Supervisor of Accounting Services. Administrative supervision is received from the Controller.

HOURS: Monday - Friday 8:15 am - 5:00 pm

SALARY: $55,239

Based on the needs of the college and with Administrator approval, some positions at the college may have remote or hybrid schedule options available. Please note, that during the 65 working day probationary period, employees are required to report to campus.
