JOB DESCRIPTION

The University of Indianapolis seeks applications for an Assistant Director of Financial Aid Systems.

The Assistant Director of Financial Aid Systems is responsible for all aspects of computing systems for the Office of Financial Aid related to the delivery of federal, state, and university financial aid to University of Indianapolis students. This responsibility is focused primarily on content management system programming, support, and research for financial aid operations, data requests and ad hoc reporting, and process improvements.

The Assistant Director supports the recruitment and retention of UIndy students by serving as a financial aid specialist on projects with campus partners including the Information Technology Department, Office of Institutional Research, and Office of Admissions. The position also serves as a member of workgroups responsible for the strategic development and implementation of aid programs and processes.



The Assistant Director of Financial Aid Systems uses a working knowledge of the rules, regulations, and laws of federal and state aid programs as well as an understanding of University policies and procedures to ensure timely and accurate award determination and distribution. The Assistant Director also supervises the Coordinator for Systems Analysis and Operations and works collaboratively to ensure efficient financial aid processes.

RESPONSIBILITIES
  • Completes programming necessary to maintain operations within the Banner (Ellucian) Financial Aid System, including the development of system protocols for processing application forms, verifying applicant data, packaging financial aid, and reconciling fund distribution.
  • Responds to data requests and completes ad hoc reporting for the Office of Financial Aid using IBM Cognos Analytics, other appropriate data programs, and system information.
  • Coordinates long-term system schedule and daily system operations of the office through supervision of the Coordinator for Systems Analysis and Operations.
  • Identifies system problems and develops process improvements to increase the efficiency and accuracy of Office of Financial Aid operations.
  • Assists other members of the Office of Financial Aid with file reviews, financial aid package evaluations, and other projects as needed to ensure accurate and compliant system processing and aid awarding.
  • Serves as financial aid content specialist to the Information Technology Department, Office of Institutional Research, and other campus offices who are responsible for supporting financial aid operations.
  • Assists in the development of new software programs, tests new systems, prioritizes releases, and coordinates installation of software upgrades and updates based on regulatory changes.
  • Provides technical perspective and support and participates as an active member of workgroups responsible for the strategic development and evaluation of award programs and policies.
QUALIFICATIONS
  • Bachelors degree required. Masters degree preferred.
  • At least two years of experience in a financial aid office strongly preferred.
  • Working knowledge of Banner (Ellucian) Financial Aid ERP preferred.
  • Knowledge of SQL required, Knowledge of IBM Cognos Analytics and experience maintaining mainframe systems preferred.
  • Technical skills in the areas of computer programming, data exchange, use of reporting tools and desktop support are required.
  • Working knowledge of federal and state rules, regulations, and procedures related to aid programs.
  • Problem solving skills, excellent organizational skills, and attention to detail required.
  • Proficiency in Microsoft Office and Google Suite products preferred.
  • Strong analytical and technical computing skills and logical thought processes.
  • Ability to become an expert on financial aid systems through independent research and training and in consultation with campus staff and industry partners.
  • Demonstrate the ability to establish and document clear instructions for system procedures and process changes.
  • Must possess ability to manage multiple, demanding tasks in a time sensitive work environment and have a sense of urgency in completing those tasks
  • Has the skills to communicate complex policies and procedures in written and verbal form to staff, campus partners, and other key stakeholders
  • Has the ability to learn and apply complex federal and state program rules and regulations and managerial policies and procedures necessary to administer these programs.
  • Possess a positive, others-oriented attitude and an ability to work effectively within a team environment.
