Summary:

The Department of Chemistry invites applicants for an exciting opportunity as an Associate Research Administrator. The Associate Research Administrator is responsible for a variety of financial, administrative, and operational tasks related to research administration. The primary purpose of this position is to provide direct post-award management support for the Department of Chemistry.

Associate Research Administrators are distinguished from Assistant Research Administrators by their level of experience and ability to provide research administration support to projects with greater independence and for larger and more complex research portfolios or specialty areas. Associate Research Administrators are typically assigned to projects or tasks that require a working knowledge of and experience in one or more specialty areas of research administration. Their role is focused on supporting administrative and financial compliance at a project level at either or both pre and post award stages. They work under limited supervision, resolving moderately complex issues independently and referring more complex issues to an upper-level manager. Associate Research Administrators typically report to a more senior research administrator, manager or director or may report to a department administrator. Common working titles include: Research Administrator, Clinical Trial Specialist, Clinical Research Budget Analyst, Clinical Research Financial Analyst, Contract and Grant Administrator, Sr. Research Account, or Sr. Research Fiscal Specialist NOTE: Expand on portfolio driven knowledge base of federal and state laws and regulations, sponsor guidance as well as university policies and compliance notices, with increasing ability to interpret and apply accurately.

Typical Duties

This position is responsible for daily management of sponsored programs accounts, including budget monitoring, procurement of goods and services, travel arrangements, and financial reporting ensuring compliance with terms and conditions and restrictions of sponsored awards. This position is also responsible for monthly financial reconciliation of accounts, monthly financial reviews with principal investigators, and maintaining an electronic filing system in compliance with records management policies. In addition, this position will obtain certification in shipping dangerous goods, assist with international shipments ensuring compliance with export controls regulations, assist faculty with material transfer agreements, and maintain departmental FedEx and UPS accounts.

Typical Education and Experience

Minimum Hiring Standards:
•Knowledge and experience in working with grant and contract procedures.
•Knowledge of state and federal regulations related to research administration, including Uniform Guidance (2CFR200), and Cost Accounting Standards, as well as fiscal practices used by research institutions and sponsors.
•Significant experience in managing budgets, analyzing data, and producing summary reports.
•Significant experience in account reconciliations and maintaining accurate files.
•Significant experience using electronic financial, procurement, and research administration platforms such as Banner, ChromeRiver, RealSource, and RAMS-SPOT.
•Excellent customer service and written and verbal communication skills.
•Strong organization, problem-solving, and time management skills.
•Excellent computer skills in the use of MS Office with emphasis on Excel spreadsheets.
•Demonstrated ability to work independently and collaboratively as part of a team.
•Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.

Preferred Hiring Standards:
•Bachelor’s degree in a related field with progressive work experience in research administration.
•Experience in post-award research administration in higher education and/or research institution.
•Certified Research Administrator (CRA) designation.
