Job Description:
Basic Function and Responsibility:
Assist in maintaining college course master and credit class schedules; schedule class sections and classrooms; and edit, update and maintain credit class schedule and classroom schedule for academic events. Produce various enrollment data and information reports. Assist with researching duplicate records. As needed produce academic transcripts, scan documents, post grades and transcript evaluations according to established policies and procedures.
Characteristic Duties and Responsibilities:
- Assist in the collection and the processing of course master
information to the college database. Input all updates, additions
and deletions as required.
- Communicate with deans, chairs, and coordinators to collect and
collaborate on complex and dynamically interrelated course section
data, enter information for specific terms. This will include the
initial credit class schedule, section additions, changes and
withdrawals. Edit and proofread the credit class schedule for
accuracy.
- Enter updates to the Master Course File for the Course
Applicability System (CAS).
- Create and update Faculty Workload information on individual
courses to be used by the college payroll system to calculate
adjunct faculty pay.
- Maintain classroom assignments for academic courses, including
class meeting date, times, locations including in-person,
synchronous, asynchronies, and hybrid, and provide support for room
scheduling.
- Provide regular enrollment reports and statistical reviews for
academic deans, department chairs and college administration as
directed. Assist in collecting data for analytical studies,
relating to retention/attrition statistics, faculty
workload/productivity, room utilization, etc. as
requested.
- Assist in the production or academic transcripts and the
posting of non-attendance indicators, midterm grades and final
grades.
- Participate in Enrollment Center cross training activities to
develop knowledge in other functional student affairs areas in
order to provide integrated and comprehensive information to
students, staff, and community. Provide excellent customer
service.
- Screen phone calls and refer inquiries to appropriate person or
provide routine information according to College policy and
guidelines of the Family Educational Rights and Privacy
Act.
- Provide assistance to the Technical Specialist in the
maintenance of the college data system.
- As directed, including during peak times, assist Registrar
Services student support in the Enrollment Center.
- Perform other job related duties as assigned.
Requirements:
Qualifications and Working Conditions:
- Associate's degree or an equivalent combination of education
and experience from which comparable knowledge and abilities can be
acquired is required.
- One year of administrative office work experience involving
multi-tasking and computer-based support is required. Experience in
an educational setting preferred.
- Proficient experience with computer software including the use
of Excel, Access or some other statistical reporting package is
required. Experience with Ellucian Banner and Ad Astra is
preferred.
- Ability to proofread and check documents for errors as well as
the ability to perform data entry to input and update
data.
- Work is not standardized. Ability to determine appropriate
methods to produce the expected results is necessary.
- General office environment. Little or no exposure to adverse working conditions.

Supervision Received:
Functional supervision is received from the Academic Scheduling Coordinator. Administrative supervision is received from the Registrar / Director of Student Financial Support.
Supervision Exercised:
Functional supervision may be exercised over student employees.
SALARY: $42,223
HOURS: Monday - Friday 8:15 am - 5:00 pm
