Class Description

Set up and maintain employee records. Coordinate and disseminate benefits information.

Minimum Requirements

Bachelor's degree and three years of experience directly administering benefits for an employee population. Benefits experience in an academic environment strongly preferred.

Class Specific Essential Duties

1. Monitor Benefits Helpline and email. Contact employee and respond to requests requiring minimal research (e.g. look up information on Banner or Benelogic, direct employee to an online resource on SharePoint, inform of basic policy or identify contact person outside HR such as Payroll). If request involves more extensive research, triage request to responsible HR subject matter expert.

2. Maintain employee records. Set up new employees in Banner and Benelogic and obtain PDIM. Set up new employee files for Full Time employees including paper and scanned files. Collaborate with Employment and Payroll to obtain necessary documents. Forward direct deposit and tax forms to Payroll. File paper records for active employees. Track and ensure receipt of materials supporting medical benefits enrollment and qualifying events for enrollment changes. Combine and archive benefit and record files and process PAF for terminating employees.

3. Maintain Banner and Benelogic records for medical benefits. Enter changes into Banner and Benelogic. Refer employees with personal information changes to Simon self-serve whenever possible. Respond to notices for medical support and input appropriate information to Banner.

4. First point of contact for Workers Compensation incidents. Log basic information into spreadsheet and Banner and maintain spreadsheet and Banner records. Submit primary incident documentation to vendors. Collect supporting documentation including wage statements, attendance records and medical documentation

5. Prepare COBRA notices and enroll employees in COBRA. Provide enrollment data to Accounts Receivable and collaborate with AR on billing issues. Serve as subject matter expert on COBRA.

6. Coordinate AFLAC enrollment and billing. Resolve employee and vendor inquiries.

7. Collaborate with HR team to conduct Open Enrollment and delivery of New Employee Orientation. Distribute enrollment materials to employees on WC and COBRA. Participate in Benefits Fairs.

8. Compile medical benefits data for NHO binder and provide to Training. Maintain stock of medical brochures and order from vendors as necessary.

9. Provide superb customer service using effective listening skills and ensuring timely resolution or triage. All initial responses should be made within 24 hours of an employee call or email.

10. Prepare and analyze reports and research and participate in special projects as assigned.

11. Maintain supporting checklists and ensure efficient and effective supporting processes.

12. Maintain current knowledge of supporting laws and regulations. Collaborate on plan modifications and vendor revisions. Maintain current knowledge of CCBC's plans, policies, and practices.

  • Tax-sheltered annuities – 403(b). Payroll salary reduction authorization is needed. The form is available on SharePoint Forms/Human Resources Forms.
    The 403(b) supplemental retirement plan is available to all CCBC employees (Adjunct Faculty, Part Time Associates and Full Time employees).
  • Roth 403(b) is a savings feature that is available when you open a 403(b) account. The Roth 403(b) savings feature allows employees to contribute after-tax dollars and then withdraw tax-free dollars from their account upon retirement. The Roth 403(b) savings feature is only offered by the following vendors: TIAA-CREF and VOYA Financial Advisors, Inc. Adjunct Faculty, Part Time Associates and Full Time employees are eligible to save for retirement using the Roth 403(b) savings feature. Employees may contribute traditional pre-tax 403(b) dollars and Roth 403(b) post-tax dollars simultaneously. The savings limits are combined for the Traditional 403(b) and the Roth 403(b) contributions.
  • Deferred Compensation Plan — 457(b) offered through VOYA Financial Advisors, Inc. The 457(b) salary reduction authorization form is needed. The form is available on SharePoint Forms/Human Resources Forms.
