The Executive Director of Advancement Operations and Prospect Development oversees Advancement Services, Program Analysts and Prospect Development, Strategy, and Analytics. This position provides leadership to the Office of Advancement in the areas of Advancement operations (i.e. gift and biographical records, campaign planning, office supplies, etc.), information systems/training, internal and institutional reporting and analytics. The Executive Director is responsible for the management of software and databases; gift and pledge processing; reporting; data input and retrieval; web page development and maintenance; prospect management and tracking systems; as well as additional duties as assigned by the Collyer Vice President for Advancement.

The Executive Director is a member of the Advancement Executive Leadership Team and expected to be the division expert on advancement technology and best practices related to fundraising operations, prospect development and campaign planning. The executive director is responsible for managing a team of diverse talents and responsibilities to support advancement and for collaborating with other leadership team members and their respective directors to support their various engagement and fundraising goals.

The Executive Director manages the operations and prospect development budget, and coordinates the Advancement division budget planning and reporting processes throughout the year. The position is responsible for submitting capital and operating budget requests.

The Executive Director also interacts with Financial Services, Information Technology Services, Facilities, Athletics, Admissions, Career Development Center and the Museum – as well as several academic departments on matters related to philanthropic gifts, alumni and parent volunteers and incoming parent and student data, and more.

Education : Bachelor’s degree, Masters preferred

Experience : 10 years + in a related field with project leader/management experience; experience with large database management; previous report writing experience preferred.

  • Leadership, staff management and commitment to professional development.
  • Oversight and management of advancement operations and prospect development staff – professional development, performance management, and goal setting.
  • High proficiency and direct experience working with relational databases, MS Office applications, reporting tools and integration with third party platform integration; interest and understanding of technology and industry trends and the impact on the role and organization.
  • Develop reporting strategies and reports to meet the needs of diverse users, particularly related to performance, goals and any capital campaign.
  • Serve as chief technology officer for Advancement; evaluate technology and training needs of the division and develop solutions; be forward-thinking and innovative; evaluate emerging technologies with eye toward enhanced service. Serve as key point person for all advancement vendors.
  • Manage all Advancement systems and data, including Advancement database, giving forms, volunteer management platform(s), advancement reporting tools, online community, document imaging system, and other associated software.
  • Demonstrated knowledge of IRS regulations and semi-annual changes to IRS, CASE, AASP, GDPR and various industry guidelines and best practices as it relates to institutional data
  • Excellent communication, presentation and interpersonal skills
  • Proven collaborator within a division and across an organization.
  • Oversees prospect management processes and ensures that all prospect tracking data is entered correctly and up-to-date in order to maintain data integrity, particularly as related to fundraising proposal data necessary for timely and accurate reporting. Develops and coordinates reports to reflect the progression of donors through the donor engagement cycle.

  • Experience training users of all levels on technology, and databases preferred

Pay Range: Commensurate with experience
