Job Description

This position provides clerical support of the administrative activities, programs, and services for the Optometry educational program, including students as well as faculty.

Essential Functions:
  • Gather, process and/or monitor information, records, and/or other data in relation to the Optometry educational program. Prepare, process and maintain appropriate records, files, reports and information.
  • Provide assistance and information to students or others on related matters.
  • Communicate in person, electronically and/or in writing with students, campus constituents, faculty, and others to seek and exchange information and documents and/or clarify information as needed. Refer to others as necessary.
  • Support faculty who participate in the Optometry educational program, including but not limited to making copies for faculty, order keys, collecting faculty schedules to have in one document for reference, assist with faculty candidate interviews (order food, arrange rooms, provide evaluations), order food for clinical practice examination completion as well as Grand Rounds.
  • Support faculty in ExamSoft with exam creation/review, troubleshooting, proctoring, importing paper exams, communicating with students about software updates, supporting students with technical issues.
  • Enter student externship rotation information into Meditrek and updating as needed. Updating student rotation grid as needed, post to Canvas, email preceptors when CE discount is available, send preceptor certificates at the end of each academic year. Initiate ePAFs for adjunct faculty and retina fellows: complete highway patrol search, process affiliation agreements in contract portal, make sure current sites have agreements, maintain externship spreadsheet, contact sites for availability, paperwork, requirements. Collect/send student documents to externship sites.
  • Prepare/send attendance certificates for continuing education via roster spreadsheet/email, verify ARBO QR code attendance/upload non-QR users to ARBO, prepare rosters for in-person sign in, order food If CEE tests are included, load tests into Qualtrics, set up payment in Marketplace, send CEE letters to participants on rolling basis, Send UMSL Grand Rounds Zoom invites to outside ODs, create attendance letters. Regarding CE tasks for outside entities: Create STL VA Grand Rounds attendance letters, Heart of America. Prepare course material for Dean to review, create letters for lecturers to send to COPE, create form for student CE monitors, review with small group of faculty/staff, choose monitors, send information to HOA contact, enter CEE tests into Qualtrics, set up payment in Marketplace, monitor tests, send CEE letters to participants. Prepare course work for Dean’s review and invoice entity for: Ennen; Western Arkansas Vision Education Foundation; Vold Vision; MOA and United Eye Care Providers.
  • Other/Misc: Attend/assist with White Coat/Commencement. Assist with room reservations/food ordering at various events (NKCF, InfantSEE), order supplies for 3rd floor and supply closet as needed,
  • Cross train and provide back up for ordering food for exam weeks, communicating with faculty about textbooks, verifying their selections in the Verba system, student employee ePAFs requests.
Salary

Commensurate with education and experience requirements.

Minimum Qualifications

A high school diploma or equivalent combination of education and experience from which comparable knowledge, skills and abilities may be acquired is required. Experience working with students and/or academic records is required.

Physical Requirements and Demands:

This position involves working in an office environment and requires the ability to use office equipment and related materials

Preferred Qualifications

A bachelor's degree is preferred.
