About the Position:

We are seeking an exceptional individual to join our Department of Management team as the Department Coordinator (Administrative Support Coordinator II). The Administrative Coordinator II provides administrative support to the Department Chair, Vice Chair, Personnel Committee, Selection Committee, and other departmental committees for the Department of Management in the College of Business and Economics. Provides administrative support to the Centers of Excellence attached to the department. Responsibilities include but are not limited to performing administrative coordination work including department related budgetary activities, and maintenance and oversight of current department office operations. Assists the Department Chair with overseeing the services of the administrative support assistants along with the work of the graduate assistants and the student assistants who provide administrative assistance to faculty. Evaluates current operations, procedures and projects, and if appropriate, recommends operational and procedural activity and policy modifications to the Department Chair. Assists with administrative staff hiring decisions. Along with the Administrative Support Assistant II, serves as the Department Information Technology Coordinator (DITC). Professional interaction within the College, the university and the community are required. Coordinates faculty recruitment process including maintaining compliance with Diversity and Inclusion guidelines and setting up interviews. In collaboration with the Department Chair, assist in course schedule development and updating, including updating, including preparing drafts, and tracking changes. Responsible for the preparation of part-time faculty contracts. Coordinates purchases of office equipment, supplies and furniture as needed. Coordinates faculty office assignments and department moves. Other duties as assigned.


Essential Qualifications:
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects. Ability to independently interpret and apply policies and procedures and use judgment and discretion to act when precedents do not exist. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area. Ability to understand problems from a broad perspective and anticipate the impact of office administration problems and solutions on other areas. Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference. Ability to effectively write and present own reports. Ability to effectively handle interpersonal interactions at all levels including highly sensitive interpersonal situations. Ability to use negotiation and persuasion skills to achieve results and expedite projects.
