Job Description:

Under the direction of the Vice President of Enrollment Management, the Senior Administrative Assistant is responsible for enrollment operations and project and office management. Additionally, the Sr. AA will provide project management support to the Provost (for Strategic Planning), Institutional Researcher, and Title IX Coordinator as needed.

Essential Functions:

1. Operations and project management support to the Vice President of Enrollment Management:

  • Support the VPEM in developing and maintaining systems for project management for the implementation of the Strategic Enrollment Plan;
  • Provide routine administrative support and coordinate logistics related to the following committees: Institutional Research Committee, Strategic Planning Steering Committee, Strategic Enrollment Management Operating Committee (SEMOC), and any other student success or retention committees that may be created;
  • Administrative oversight of key retention initiatives (e.g. Mentorship Programs, Curry Partners, etc.);
  • Support event management including Convocation, Fall and Spring Opening, and assists other areas on campus with events as needed;
  • Assist with maintaining portal web content;
  • Support the VPEM in developing materials (memos, power point presentations, reports);
  • Assist with Survey design, dissemination, and data collection utilizing programs such as Qualtrics, as requested.

2. General administrative support to the members of Enrollment Management Department:

  • Maintain the calendar of the Vice President of Enrollment Management (VPEM);
  • Act as the main point of contact for Faculty, Staff and visitors of the Office of Enrollment Management;
  • Attend meetings to take minutes including Senior Staff, Strategic Planning Steering Committee, Strategic Plan Direction II Leadership Team and others as needed or requested;
  • Provide general oversight for the efficient operation of the Enrollment Management Office through assisting with room reservations and meeting coordination, copying, and coordination of School Dude requests as needed;
  • Maintain budget, submit purchase orders, and maintain record of purchases for Enrollment Management Department;
  • Coordinate the general care and maintenance on office equipment such as: copier, printer, computers, and telephones;
  • Inventory and order office supplies and equipment for the Office of Enrollment Management as needed.

3. Oversight of Student Employee Responsibilities:

  • Recruit, interview, hire and schedule work-study students and student workers as needed and approved;
  • Provide  training  as  necessary;
  • Coordinate, prioritize and assign tasks to student workers;
  • Monitor hours worked and ensure accuracy of hours worked in the College's electronic time keeping system;
  • Measure performance of student workers.

Additional Functions;

  • Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy;
  • Perform other related duties as assigned by the VP of Enrollment Management.

 

Requirements:

Minimum Qualifications:

  • An Associate's degree is required.
  • A minimum of two to five years office administration experience.
  • Excellent interpersonal skills to effectively deal with a variety of individuals.
  • Demonstrable computing skills and efficiency utilizing complex computing applications on the systems and programs of College's choice; currently by way of example, Microsoft Office Suite, Banner, Constant Contact, Mongoose texting platform.
  • Ability to follow-up, follow-through, multi-task, set priorities and adhere to deadlines.

Preferred Qualifications:

  • Bachelor's degree in a related field.
  • A minimum of two to five years of office administration experience, preferably in a college setting, with project management responsibilities
  • Proven technical abilities across a variety or complex software systems, student information systems (e.g. Banner, Datatel, etc.), relational databases, and web-based programs.
