Graduate Clinical Education Program Mgr

We are seeking aGraduate Clinical Education Program Manager who will provide administrative management for the Office of Graduate Clinical Education (OGCE), which provides central oversight for allied health professions graduate education.

The position reports to the Sr. Associate Dean for Graduate Medical Education (GME)/Director of Graduate Clinical Education (GCE) and works closely with faculty, staff, and learners throughout the Johns Hopkins School of Medicine (JHUSOM) and the Johns Hopkins Health System (JHHS). The position collaborates closely with the GME Office to accomplish the educational goals of JHUSOM and JHHS.

The position supervises the Sr. Administrative Coordinator.

Specific Duties & Responsibilities:

Working closely with the Sr. Associate Dean for GME/Director of GCE and the Assistant Director of GCE, the administrator will:

  • Serve as a central point of contact for all graduate clinical education matters for all JHUSOM clinical departments and JHHS.
  • Assist in establishing a formal committee structure of program directors to facilitate sharing of exemplary practices and create uniform policies in support of these educational programs.
  • Serve as secretary of the committee of program directors
  • Ensure institution-wide policies and protocols are communicated to leaders of Allied Health education programs.
  • Work with Office of the General Counsel to review agreements and contracts with outside schools and participating sites. Ensure appropriate agreements are in place for all learning opportunities.
  • Review documents/contracts for the offices of Graduate Medical Education and Graduate Clinical Education.
  • Ensure appropriate documentation for all learners is in place prior to the start of the learning experience. For example, receive and verify required appointment documents, approve rotations, and coordinate with the JHUSOM Registrar’s Office or applicable JHHS entity for the issuance of ID badges.
  • Ensure standardization of on-boarding/orientation of learners
  • Supervise Sr. Administrative Coordinator. Supervisory responsibilities include interviewing, hiring, training, motivating, evaluating, and initiating disciplinary action as needed, according to human resources policies and procedures. Coordinate employee’s time off and vacation coverage.
  • Serve as the liaison with all stakeholders, to include JHHS and JHUSOM leadership, Office of the General Counsel, Medical Staff Offices, Program Directors, and Program Coordinators
  • Provide accreditation support and assistance; monitor accreditation expectations to ensure programs’ compliance
  • Facilitate structured evaluation of learners and faculty; ensure annual learner evaluation of programs
  • Develop and maintain statistical reports on the various Graduate Clinical Education programs.
  • Other duties as assigned

Minimum Qualifications(Mandatory):

  • Bachelor’s Degree in Business, Healthcare Administration, Education, or related field and seven years of related experience.
  • Additional education may substitute for some experience and additional experience may substitute for some education, to the extent permitted by the JHU equivalency formula.*

* JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

** Applicants who do not meet the posted requirements but are completing their final academic semester/quarter will be considered eligible for employment and may be asked to provide additional information confirming their academic completion date.

Preferred Qualifications:

  • Experience in a healthcare or higher education environment preferred.
  • Master’s Degree in Business, Healthcare Administration, or education strongly preferred.
  • Supervisory experience preferred.

Physical Requirements:

  • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
  • Communication skills using the spoken word.
  • Occasionally lifting, carrying objects weighing 10lbs. or less.
  • Occasionally pushing, pulling objects weighing 30lbs. or less.
  • Ability to move about.
