Associate Director - Academic Advising
About the Opportunity
Responsibilities:
Position Summary:
This is a management position in Bouve College of Health Sciences' Office of Student Services with a primary emphasis on oversight and coordination of undergraduate academic advising. The associate director will oversee and supervise the undergraduate advisors and their programs, as well as liaise with academic program directors. Day-to-day management of academic advising in the Office of Student Services includes: directing advising processes like caseload management, reviewing academic progress, graduation clearance, new student orientation, end of term grade review, dissemination of student data to constituents, etc. and managing advising staff by maintaining schedules, assisting with challenges, and supporting professional development. The associate director will represent the college on college-wide and university committees and work with the assistant dean to manage the implementation of projects related to retention of students and coordinate development and maintenance of advising data. The associate director will work with the undergraduate academic advisors, the undergraduate departments/programs, and the assistant dean to retain students through graduation by providing high quality academic advising services.
Duties and Responsibilities:
MANAGEMENT OF STAFF 50%
- Day-to-day management of the undergraduate (UG) academic advisors and the programs/projects for which they are responsible
- Hire, train, and supervise undergrad academic advisors
- Address student and parent concerns that become elevated either by students, advisors, or college administration
- Implement and coordinate college-wide UG academic processes including: commencement, orientation programs, welcome week, freshman seed, change of major, and Pathway programs
- Coordination of communications to Bouve students, including the e-mails, publications, and website in collaboration with the student services coordinator
- Manage academic review process and graduation clearance process
DATA & TECHNOLOGY MANAGEMENT 40%
- Serve as central resource on all technology issues in the areas of advising and registration for Banner, Salesforce, DARS, and other systems
- Represent Bouve in the development and implementation of technology-based advising systems
- Serve as the Bouve liaison between central University offices (i.e. Registrar, Admissions, etc.) to ensure that Bouve's perspective is raised, implementation is appropriate, and training is provided and facilitated
- Provide consistent updates to leadership, faculty, and UG advisors on all new systems and processes
- Oversee UG student database systems; update advisors on new systems and provide training
- Develop and facilitate advisor training programs related to undergrad academic services
ACADEMIC ADVISING 10%
- Provide academic advising for special population students including academic planning, course scheduling, facilitating access to services, graduation clearance, and providing referrals as needed
- Assist students with development and evaluation of individualized education plans
- Work with academic programs and student support units as appropriate to ensure student progression
- Initiate, develop, and accurately maintain degree planning documents
- Utilize technology to manage case load (Banner, Navigate, SalesForce, and DARS)
- Maintain accurate student records in compliance with university policy

- Skills with computer systems including Salesforce, Blackboard, Banner, DARS, SharePoint, etc., or ability to quickly learn
- Ability to design /build tables, forms, and reports
- Knowledge of advising, student development theory, and/or career development theory
- Knowledge of current market trends relevant to the array of health science programs at Bouve College
- Knowledge of and ability to coordinate programs, develop event assessments, and utilize technology
- Ability to uphold the ethical principles, professionalism, and confidentiality set by the National Academic Advising Association (NACADA) and Northeastern University
- Awareness of the needs of special populations such as BIPOC, people with disabilities, and non-traditional student cohorts
- Ability to participate in occasional evening, weekend, and travel commitments
Qualifications:
Required qualifications:
- Master's degree
- At least 2 years of experience as an academic advisor or closely related position
- At least 4 years of experience in college administration, management, and/or supervision of professional staff (experience may be concurrent)
Preferred qualifications:
- Experience supervising academic advisors
- Experience using Navigate, Banner, SalesForce, and/or DARS
