POSITION SUMMARY:

Under general supervision perform, coordinate and oversee office administrative duties in support of their campus executive committee members, including the provision of varied and complex office duties; may from time to time direct other support staff. This position requires the ability to act confidentially, handle sensitive information and exercise independent judgment. Some technical knowledge of the specific area of assignment may also be required.


KEY JOB ELEMENTS:

  • Performs administrative and clerical duties as assigned including travel arrangements for visiting candidates, arrangements for on or off site meetings, and assist with the execution of campus events and activities. Maintain room usage schedule for janitorial, security, and event scheduling purposes.
  • Maintains correspondence logs, files, information databases, and other tracking systems as necessary. Prepares Executive Committee, OPM, PACs, and other meeting minutes. Organizes meeting dates, meeting structure, and sends out agendas. Distributes Executive Committee weekly KPI updates to Vice Chancellors and Assistant Vice Chancellors.
  • Orders office and facility related supplies as necessary. Maintains office equipment such as fax machines, postage meters, copy machines and printers.
  • Key campus liaison with Finance for vendor, purchase order, invoice and accounts payable coordination. Maintains contracts with vendors for equipment, repairs and services. Securely retain the campus Purchase Card (P-card) and authorize executive committee member usage adhering to the P-card policies and spend limits.
  • Prepares answers for routine correspondence for distribution over own signature and prepares correspondence for others signature. Responsible for distributing all-campus staff and faculty messaging for internal communications; coordinate campus communications in a manner that supports a culture of student success and positive campus climate.
  • Assists with directing students with locating campus leaders, including directing them toward offices, phone, e-mail or classrooms. Ensure signage for classrooms, campus services and office spaces are clearly marked and accessible.
  • Provide new employees with on boarding information, such as tours and campus directories, office or cubicle accommodations, employee access badges; business cards, and ensure new hires have necessary accesses to assume assigned duties on day one. Maintain campus keys in coordination with the university Director of Facilities and campus Dean of Student Affairs.
  • Coordinate with campus leaders to ensure on-site vendors and maintenance service providers provide timely repairs and regular maintenance for campus facilities; coordinate vendor access to the building and appropriate systems.
  • Collaborate with Vice Chancellors. Assistant Vice Chancellors and University Directors in carrying out the priorities of the University.
  • Ensure employee engagement and recognition activities are organized and occurring on a regular schedule, such as service awards, employee recognition and leading employee engagement committee work.
  • Collaborate with Human Resources to perform assigned duties. Responsible for I-9 completion and onboarding of new hires. Responsible for exit meetings when employees terminate from the University. Other duties as assigned by the HR Directors and HR Business Partners.
  • A cell phone is required for use during work hours and after hours as needed. This position requires flexibility with schedule as needed to support the campus events.
  • Other duties as assigned.
REQUIREMENTS:

  • Bachelor's Degree in a related discipline.
  • Minimum of four years' progressively more responsible administrative experience in a
  • corporate or academic environment supporting mid to upper level manager(s).
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills.
  • Superior organizational and problem resolution skills.
  • Business computing skills (validated by testing where applicable) to include the following: Advanced Word and PowerPoint, Basic Excel and Outlook.
  • Ability to use database programs (CampusVue)
  • Professional telephone manner and personal appearance.
  • Interact effectively as a member of a team and work collaboratively across all
  • levels of the organization.
  • Listen to customers (e.g. students, staff, etc.) and to understand and respond
  • positively to their requests.
  • Multi- task, meet deadlines, and deliver a work product in line with quality standards.
