Founded in 1805, the Pennsylvania Academy of the Fine Arts (PAFA) is America's first school and museum of fine arts.  Located in center city Philadelphia, PAFA is intimate in scale with a strong sense of community.  PAFA’s undergraduate degree offerings include a BFA in Studio Art and a coordinated BFA with the University of Pennsylvania. Graduate programs include an MFA and Low-Residency MFA degree, and a Post-Baccalaureate certificate. PAFA’s museum has an outstanding collection of American art, and the museum actively collects and exhibits contemporary art, including work in new media.  Additionally, PAFA is home to the Brodsky Center, a print and papermaking center focused on the creation of innovative editions by contemporary artists.

POSITION: Facilities Manager

The Facilities Manager is responsible for managing all PAFA’s facility management operations and services. The Facilities Manager provides the leadership, management and vision necessary to ensure proper operational control, administrative and reporting procedures, and systems in place to maintain required space conditions for PAFA’s art collection, classrooms and studios, and staff spaces.

Participates in capital improvement planning and implementation of capital improvement projects. Communicates and provides appropriate information to the Building Committee related to all PAFA building systems for asset repair or replacement as needed.

Expected to have an in-depth knowledge of building systems and maintenance, and to exercise judgment within established systems.

ESSENTIAL DUTIES AND RESPONSIBILTIES

  • Provides technical leadership for all maintenance and repair activities related to HVAC equipment and other essential building systems/services.
  • Coordinates and/or supervises Facilities staff and contractors to ensure day to day operations run smoothly, providing assistance and training as needed.
  • Maintains and updates established policies and procedures for the proper operation/maintenance of all building systems which include: HVAC equipment, fire alarm systems, electrical, plumbing, pest control, waste management, emergency generators, elevators, etc.
  • Oversees building maintenance activities and monitors/inspects completed work. May participate in and lead such activities/repairs. Responsibility for regular facility inspections and ensures regular and required testing of systems and alarms.
  • Implements programs to maintain required space temperature and humidity conditions for art gallery and art storage areas.
  • May serve as a general contractor for projects – develops and assemble bid specifications, seeks bids, makes awards, and oversees work. Serves as primary liaison to construction contractors.
  • Serves as organization representative to deal with local and state officials including the Building Inspectors and other local and state authorities with regards to Operations and Facilities.
  • Responsible for management and control of $1.5M operations budget, including forecasting future spend requirements
  • Reviews and approves all service contracts before signature by CEO or CFO. Serves as primary contact for all contractors.
  • Helps to plan utilization of space consistent with organizational requirements.
  • Facilities Management team collaborates with appropriate teams for onsite programming/events.
  • Courteously answers questions and resolves concerns of all stakeholders
  • Other duties as assigned

QUALIFICATIONS

  • High School diploma, or equivalent
  • Ten years of relevant experience in facility management, construction, property management or related field.
  • Working knowledge of facility management, building systems, HVAC, plumbing, electrical, construction, building maintenance and emergency procedures.
  • Working knowledge of equipment, materials and supplies used in facilities management, repair, maintenance and small building projects.
  • Knowledge in the proper and safe techniques of building maintenance and applicable safety precautions, including government regulations (OSHA et al).
  • Knowledge of institutional standards and governmental regulations for museums and institutions of higher education preferred.
  • Supervisory experience.
  • Budget management experience.
  • Ability to establish and maintain cooperative working relationships.
  • Proficient in Microsoft office
  • Experience with project management software desirable.
  • Significant organizational skills dealing with a high volume of work in tight time frames.
  • Ability to lift, push, pull and/or carry fifty pounds.
  • Ability to use appropriate tools as needed to fulfill duties.

WORKING CONDITIONS

  • Ability to work in all building conditions.
  • Ability to work outside when required.
  • May be required to respond to building incidents on nights and weekends.
  • Prolonged standing and walking.
