Position Summary

The Director of Departmental Operations and Faculty Development provides primary support for departmental operations and faculty in the Carle Illinois College of Medicine. Key areas of responsibility include providing strategic and tactical leadership for: administration of departmental operations; faculty engagement and evaluation; faculty development; and faculty appointments and promotion.

This position initially will report dually to the Head of the Department of Clinical Sciences and the Head of the Department of Biomedical and Translational Sciences, with indirect reporting to the Associate Dean for Faculty Affairs and Development. Longer term the position will have its primary reporting line to the Head of Clinical Sciences, with continuing indirect reporting to the Associate Dean. This is a full-time, 12-month, non-tenured, administrative position. Salary will be commensurate with experience and qualifications; the start date will be as soon as possible after the close of the search.

Major Duties and Responsibilities

Departmental Administrative Leadership

  • In collaboration with Department Heads, assess and align departmental goals with the mission of the college.
  • Provide leadership across the department including for strategic initiatives and administrative and operational functions, and the development of growth plans.
    o Identify and propose resources as needed to meet departmental goals
  • Provide support to faculty governance matters including overseeing and/or carrying out revisions to departmental level policies and procedures.
  • Manage faculty compliance activities.
  • Oversee coordination of various departmental events and meetings.
  • Manage communications to ensure faculty and staff stay abreast of matters concerning the department.
  • In partnership with the Chief of Staff, coordinate and communicate the department's operational initiatives.
  • Work in close collaboration with the Associate Dean for Finance and Administration on the department's fiscal operations including departmental budget oversight.
  • Serve as the Department Head's designee in a variety of administrative matters with signature authority for financial functions.

Faculty Engagement

  • Work closely with the Associate Dean and Heads to develop, manage, and communicate faculty engagement opportunities, along with programs targeting faculty retention.
  • Provide support to the Department Heads and Associate Dean with specific recruitment and retention cases.
  • Develop and manage mechanisms to measure, track, and report faculty service and engagement.
  • Partner/collaborate with the Senior Director of Faculty Development for faculty recognition and award programs.

Appointments, Promotion and Tenure

  • Manage and communicate policies and procedures for faculty appointments, renewals of appointments, promotions, granting of tenure (if relevant), non-reappointment and dismissal.
  • In collaboration with CI MED Human Resources, develop, implement, and manage processes and procedures for Appointments, Promotions, and Tenure (APT) review.
  • Provide leadership support to both department and college-level faculty appointments, promotions and tenure committee.
  • Oversee the voting and appointment process for annual appointments of faculty members to college committees.
  • Serve as an ex-officio member on the departmental Appointment, Promotion, and Tenure committee.

Faculty Evaluation

  • Work closely with and support Department Heads in managing the annual faculty evaluation process.
  • In collaboration with Department Heads and college leadership, develop, implement, and manage an annual scaled evaluation process.

Faculty Development

  • Work closely with the Associate Dean and Department Heads to develop, implement, track and manage a faculty mentorship program.
  • Work with the Senior Director of Faculty Development to determine faculty development needs in the areas of instruction, research and scholarship, professional development, innovation, and entrepreneurship.
  • Work with the Senior Director of Faculty Development to manage the implementation of department specific faculty development events.

Other

  • Supervise department administrative support staff. This includes managing daily work operations and conducting performance evaluations.
  • Establish and maintain effective working relationships; work cooperatively and collegially with others in a manner consistent with a workplace of dignity and respect; support and engage in equal employment opportunity principles, rules, and regulations.

Qualifications

Education

Required

  • Bachelor's degree in educational leadership or administration, business administration or related field.

Preferred

  • Master's degree

Experience

Required

  • A minimum of 5 years of administrative/management experience in higher education.

Preferred

  • Experience in academic medicine administration, strongly preferred.

Knowledge, Skills, Abilities

  • Strong communication skills with the ability to communicate effectively, both verbally and in writing.
  • Strong analytical and problem-solving skills; ability to think creatively.
  • Strong organizational skills with the capacity to multitask.
  • Strong interpersonal skills with the ability to cultivate collaborative relationships and effectively and resolve conflicts.
