The Assistant Registrar serves as the Records Office subject matter expert for NTC as well as a generalist in Admissions, Financial Aid, and other student services functions at NTC.  Records Office functions include interpreting academic policies for NTC and Minnesota State – as they relate to academic records of student, the application for degree life cycle (review, confirmation, and posting), satisfactory academic progress, commencement, registration, and maintenance of academic records.  In addition, the Assistant Registrar is responsible for the transcript evaluation process to determine the granting of transfer credit for students entering with previous coursework.  They will also represent the One Stop Student Services Center serving prospective and current students as a one-stop student services representative with knowledge in records, registration, financial aid, admission, and other student service areas; additional support, as needed, to schedule and proctor exams, participate in campus events and outreach programs, and be a liaison for students seeking assistance form the One Stop Student Services Center.

 

Responsibilities of the Assistant Registrar include:

  • Administering the college registration process, satisfactory academic progress, graduation application process (review, verification and posting of degree), commencement ceremony, course scheduling, grading system, degree exceptions, and the electronic document imaging system.   Overseeing the processing of Records Office functions, such as enrollment verification, transcript requests, and Dean’s List eligibility.  Ensuring all functions are completed while maintaining the accuracy of student records and adhering to state and federal data privacy laws. Providing work direction to student workers.  Percent of Time: 70%
  • Overseeing the transcript evaluation process and determining the granting of transfer credit for students entering with previous coursework. This includes the official and proper documentation of credit given. Working closely with the faculty and other academic content experts, as needed, to determine course equivalency and course substitution in order to accurately complete transcript evaluation and subsequent granting of transfer credits if applicable.  Percent of Time: 20%
  • Representing the One Stop Student Services Center and serving prospective and current students with knowledge in records, registration, financial aid, admission, and other student service areas; providing additional support, as needed, to schedule and proctor exams, participate in campus events and outreach programs, and be a liaison for students seeking assistance from the One Stop Student Services Center.  Percent of Time: 10%     

 

Minimum qualifications for this position include:

  • Bachelor’s Degree.
  • Excellent human relations, customer service, oral and written communication skills.
  • Computer skills including proficiency in software such as Microsoft Office.
  • High degree of computer literacy and familiarization with electronic recordkeeping.
  • Knowledge of state and federal statutes and regulations to ensure compliance in all facets of a program.
  • Ability to problem solve situations with a positive attitude utilizing critical thinking skills.
  • Knowledge of academic policy and procedure, specifically as it relates to registration and degree completion.

Preferred qualifications include:

  • Records Office experience.
  • Knowledge of the principles and practices of admission procedures and school records management, including the inter-relationship with other college programs and divisions and NACAC Principles of Good Practice.
  • Experience with degree audit reporting software.
  • Experience with student information systems.
  • Experience with document imaging systems.
  • Experience with customer relations management systems.
  • Knowledge of or experience working with diverse cultures and populations.

For those who love the outdoors, there are wooded, multi-use trail systems within minutes of campus and community parks with walking trails, playgrounds and a skate park. Lake Bemidji State Park and its miles of navigable trails is located directly across the lake from BSU, and the Buena Vista Ski Area — just 12 miles north of town — offers downhill skiing and BSU-sponsored student transportation in the winter months. Further, the Mississippi River Headwaters is a mere 45 minutes from Bemidji.
