Job Description:

Provides support to the Directors of RecSports
  • Answer, screen, and transfer phone calls
  • Receive and direct visitors
  • Schedule appointments and maintain calendars
  • Schedule and coordinate staff and other meetings; prepare agendas, book meeting rooms
  • Record, compile and distribute minutes or other records of meetings
  • Prepare communications, such as memos, emails, reports, and other correspondence
  • Coordinate and book travel arrangements; including transportation and accommodations for Directors and job candidates.
Fiscal Responsibilities
  • Process deposits (credit card payments, check payments, EFT payments for payroll deductions)
  • Process journal entries (E2R) for chartfield payments
  • Process travel authorizations for Directors and job candidates
  • Process expense reports (TEAMS, Sports Clubs, job candidates)
  • Process Jim Bryan Grant reimbursements
  • Enter and certify data within effort reporting system
  • Support purchasing requirements for department - researching items, obtaining price quotes, entering information into university systems, receiving purchase orders, and maintaining PCard information as required
General Office Management
  • Collate and distribute mail; maintain staff mailboxes
  • Create and maintain filing systems, both electronic and physical
  • Maintain and order office supplies
  • Manage department printers, phone lists, and organization chart
  • Cross trained to work with Membership Services

Expected Salary:

$43,000.00 - $45,000.00

Minimum Requirements:

Bachelor's degree; or an equivalent combination of education and relevant experience.

Must have a valid FL driver's license.

Preferred Qualifications:

Bachelor’s degree and seven years of relevant experience; understands UF purchasing regulations and procedures, skilled in PeopleSoft; has excellent Excel spreadsheet skills; can work with minimal supervision, to think laterally and to undertake initiatives; and is self-motivated, adaptable, a great team player and customer focused; has excellent written and oral communication skills.
