Job Summary

The Associate Director, Finance and Administration provides financial, administrative, human resource, and contract and project management support. The Associate Director works closely with the Director and Drexel Business Services Department Heads on evaluating aspects of their business and providing accurate and actionable ad- hoc reporting to assist with decision-making. The Associate Director works across the DBS portfolio to monitor all contract terms and deliverables, ensuring that both the provider and Drexel University are compliant with all aspects of the contract.

Essential Functions
  • Gather and analyze data (often against demanding deadlines) to inform decisions about the planning and implementation of various initiatives. Work cross-team and cross-department to develop project timelines and action plans.
  • Provide accurate and actionable ad-hoc financial reporting and analysis to support leadership decision making. Participate in cross-departmental business process reviews, including cost-benefit analysis, process mapping/flow charting and perform supporting analysis to enhance and to improve efficiency of the services provided by the department. Evaluate reporting and tracking systems and conduct post implementation program reviews.
  • Oversee the division’s contract management related activities, procedures, and system tools involved in the compliance of new and existing contracts. Ensure alignment with the University’s professional processes and systems and work collaboratively to ensure both the University and its business partners are meeting the obligations documented in each contract.
  • Work cross-department to provide support to the Executive Director, Housing and Dining to manage third- party vendor contracts for food service, retail bookstores and vending. Track contract compliance and financial obligations (commission, expenditures) including contract deliverables and recurring reporting. Support the Director to manage contract terms and conditions, amendments, and deliverables to ensure on-time compliance.
  • Serve as back-up for Director, Finance & Administration for Human Resource and Drexel University Online functions.
  • Serve as the Drexel Business Services point of contact for employee onboarding and offboarding. Manage the timeline and tasks associated with onboarding and offboarding, ensuring stakeholders are informed; including, but not limited to, setting up building access, office location, network, and email accounts.

  • Bachelor’s Degree
  • 3-5 years of relevant experience
