Operations Coordinator, Online Programs (14732)



Summary/Objective

The Operations Coordinator, Online Programs coordinates day-to-day operations for the IR Online program in the School of International Service. The Operations Coordinator will oversee crucial data functions, including managing enrollments and credits, ensuring correct section coding, and managing systems integration between databases and different student learning platforms. The incumbent will support all phases of the academic scheduling process. Additionally, the Operations Coordinator provides programmatic support to staff and faculty administrators and assists with projects to enhance the student experience in online programs. This position collaborates extensively with employees of SIS’ third-party online provider. This position reports directly to the Assistant Director of Operations and Academic Services, Online Programs, and serves as a liaison to other administrative units including the offices of SIS course scheduling and academic affairs, academic advising, the University Registrar, AU Central, and Student Accounts.

Essential Functions
  1. Course Planning, Section Coding, and Academic Schedule Development: Coordinates with the Online Programs team, faculty program directors, and academic affairs offices to manage the operational components of the online program academic calendar and course planning. Ensures proper section coding and restrictions, enrollment caps, term dates, and mechanisms for student cross-enrollment in various university systems. Initiates appropriate tuition and fee forms and catalog updates. Supports all phases of academic schedule development process.
  2. Data Management and Records Maintenance: Manages daily system integration between University and third-party vendor systems (including Datatel Colleague, SalesForce, and ARES). Maintains student records and tracks relevant enrollment data. Tracks student status updates, including leaves of absence, probation, incompletes, transfer credit, deferrals, and program transfers. Conducts audits to ensure accuracy of student statuses in multiple systems. Coordinates with the operations team of third-party vendor on relevant issues.
  3. Academic Advising Support: Supports academic services functions including procedure document updates, registration bulletins, website updates, proficiency exam administration, and maintaining relevant academic and curricular documents. Serve as the liaison for other external offices for actions related to student cross-enrollment in online courses.
  4. Programmatic Support: Provides support in academic program management and program-specific events, including supplies ordering, team meeting notes, list-serv maintenance, and general inbox management.
  5. Additional Projects as Assigned: Conduct additional projects as assigned.

Required Education and Experience
  • Bachelor's degree or equivalent in education, training and/or experience.
  • 1-3 years of relevant experience
  • Analytic and quantitative skills required, including demonstrate proficiency in Microsoft Excel, database software, and data management.
  • Must have strong interpersonal, collaborative, and organizational skills.
  • Detail-oriented, flexible, and demonstrates excellent judgement, discretion, and ability to excel in a multicultural environment.
Preferred Education and Experience
  • 1-3 years of relevant experience in higher education is preferred.
