REPORTS TO: Manager, University Partnerships and Transfer Initiatives
PLACEMENT: Clerical staff, grade 5
MINIMUM PAY RATE: $15.36 per hour

POSITION SUMMARY
Provides Resource Room and University Center assistance to students, faculty (JJC and four-year institution partners), staff (JJC and four-year institution partner), and community members. Responsibilities include assisting with library circulation; creating student and staff photo identification cards; scheduling and tracking tutoring appointments; assisting with academic intervention initiatives; assisting patrons with technology usage; participating in outreach campaigns; assisting with Adjunct Orientation and additional faculty support; collaborating with appropriate staff to continuously improve stakeholder experiences; and supporting University Partnerships and Transfer Initiatives department. Position may work at University Center to support four-year institution partners as needed. Superior customer service, effective communication, organization, and problem-solving skills are important. Initiative and attention to detail are also key to the success of the individual in this position.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES

1. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

2. Receive, direct, and refer visitors including students, student supporters/ advocates, faculty, college personnel, four-year partner personnel, and community members; handle phone calls, take and relay messages; provide appropriate information regarding programmatic services and requirements; assist with scheduling student appointments for a variety of services; assist Manager of University Partnerships and Transfer Initiatives (Manager) with tracking and reporting service usage and service satisfaction.

3. Maintain neat appearance of Resource Room; work closely with Manager and Administrative Assistant to Dean of Academic Intervention and Support to request office supplies, instructional materials, etc.

4. Schedule and track tutoring appointments, in person, skype, study aids, workshops, etc.; monitor unmet student tutoring requests and report to TLC Coordinator on weekly basis.

5. Assist faculty, staff, four-year institution partners, and student organizations by reserving rooms, providing orientation to Resource Room technology and services, and serving as point of contact for TLC tutors.

6. Assist faculty, staff, students, four-year institution partners, and community members with University Center, Resource Room, and JJC technology usage (i.e. computers, printers, myJJC portal, iCampus, etc.).

7. Assist Academic Intervention and Communication Center with outreach campaigns. Assist with other JJC initiatives.

8. Serve as Library Access Clerk by upholding and interpreting library policies to library users, implementing daily operations of library circulation and reserve materials, and assisting students with basic bibliographic questions.

9. Assist with Adjunct Orientation and other faculty support including but not limited to receiving, securely storing, and submitting course evaluations to appropriate departments; contacting IT or JJC PD for specialized assistance; providing office supplies; distributing faculty mail.

10. Document complaints, inquiries, and other concerns, and propose solutions to promote a culture of continuous quality improvement.

11. Assist in the development and distribution of Romeoville Campus promotional materials; maintain records and prepare reports; coordinate activities with appropriate college faculty and staff.

12. Perform other duties as assigned.

MINIMUM QUALIFICATIONS

1. High School Diploma or equivalent.

2. One (1) year of related experience.

3. Excellent customer service and phone skills.

4. Working knowledge of personal computer and Microsoft Office skills including Word and Excel. Knowledge of modern office practices and procedures.

5. Attentiveness to detail, organizational skills, and initiative are extremely important, along with the ability to handle sensitive information with professionalism, discretion, and impartiality.

6. Ability to handle multiple tasks and responsibilities simultaneously. Must become knowledgeable of college programs and services.

7. Strong verbal and written skills, and ability and willingness to work cooperatively with a diverse population.

8. Access to transportation and a willingness to work at other campuses when necessary.

9. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

PREFERRED QUALIFICATIONS

1. Associate’s degree or two (2) years of college.

2. English and Spanish verbal and written communication proficiency.

3. Demonstrated multicultural competence.

PHYSICAL DEMANDS

1. Normal office physical demands.

2. Ability to travel between campus locations and to community events.

WORKING CONDITIONS

1. Duties are performed indoors in the usual office and/or outdoor environment.
