This position of Office Manager will support the academic programs in the School of Hospitality ( SOH ). The Office Manager is responsible for leading the efficiency of day-to-day operations of the office and supporting the work of management, other staff, and faculty

A successful candidate will have a strong ability to be thorough, thoughtful, and detail-oriented, manage a dynamic workload with urgency and diligence, can work independently, build relationships, and lead a team of student employees to support the needs of the office. The Office Manager is an energetic professional who doesn’t mind wearing multiple hats and is experienced in handling a wide range of administrative and executive support related tasks. They are well- organized, flexible, and enjoy the administrative challenges of supporting a diverse office.
The position also supervises student workers and fields requests pertaining to office functions.

The SOH is particularly interested in applicants who have experience working with students from diverse backgrounds and has a demonstrated commitment to improving access to higher education for under-represented groups. Specifically demonstrated commitment to mentoring and supporting students from a wide range of experiences and backgrounds including, but not limited to: traditional, first generation, BIPOC, LGBTQ+, Latinx, adult, military, second career, second chance, concurrent high school/ college students, and students with mental health, learning and/or physical differences. Duties/Responsibilities
90% This position provides assistance by prioritizing appointments, responding to phone calls and other communications for the SOH, greeting and directing visitors, scheduling appointments for administration and faculty, completing and routing forms for signature, and resolving a variety of issues relating to the functioning of the SOH . This position is also one of the first points of contact for students seeking information about SOH programs. As such, this position answers phones and emails, provides physical and procedural directions, consults other offices within the University, and directs students to the appropriate office. This position will be responsible for entering schedules, updating data, and conducting analysis on a variety of topics.

In addition, the Office Manager perform a wide range of duties including some or all of the following:

Office administration
• Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents
• Sort incoming mail, faxes, and courier deliveries for distribution
• Prepare and send outgoing faxes, mail, and courier parcels
• Forward incoming general e-mails to the appropriate faculty or staff member
• Forward voice mail from the general mailbox to the appropriate faculty or staff member
• Purchase, receive, and store the office supplies ensuring that basic supplies are always available
• Interpret existing policies and develop procedures for office purchasing processes, including the development of forms and protocols as necessary.
• Provides administration support for department search committees and smooth onboarding of new employees; including coordinate systems, technology, telephone, software, and equipment needs
• Update and ensure the accuracy of the organization’s databases
• Back-up electronic files using proper procedures
• Provide secretarial and administrative support to management and other staff
• Make travel, meeting, room schedules, and other arrangements for staff/faculty
• Coordinate the maintenance of office equipment
• Ensure accurate coding and expense report entry of materials/services purchased using the Departmental Card

Provide Administrative Support
• With supervisor, prepare meeting agendas and supporting material for distribution
• Ensure the timely distribution of materials to departments/students/visitors
• Support the meetings and arrange travel
• Draft minutes meetings for review by the supervisor
• Create action list for management staff from board meetings
• Drafting and adjusting course schedules
• Adding/adjusting room schedules
• Managing office hours for Faculty/Chair/Dean
• Aggregating text book orders
• Assisting with PeopleAdmin (Human Resources software)
• Support in hiring/onboarding of new faculty, staff and student employees

5% – This position will also supervise student workers, organize their tasks, and coordinate front desk coverage based on need, student schedules, and funds.

5% – Other duties as assigned Required Qualifications
• High School diploma or equivalent ( GED );
• Previous experience in direct customer service, preparing reports, and/or administrative support;
• Ability to effectively communicate professionally;
• Experience using and analyzing data within spreadsheets and databases.

Preference will be given to candidates with experience in the following areas:
• Bachelor’s Degree;
• Experience working within higher education;
• Experience working with the following systems: Banner, BI Launchpad ( EDW ), Microsoft Teams, PeopleAdmin, DegreeWorks, SSC Navigate, Chrome River, and/or Excel (specifically Pivot Tables), etc.;
• Experience working as administrative support for a dynamic and active unit;
• Be an independent, proactive partner who takes the initiative and execute projects with minimal supervision.
• Proven experience applying critical thinking to tasks and anticipating changing prioritizes
• Experience working with diverse and urban populations, including but not limited to communities of color, under-represented groups, LGBTQIA+, first-generation, undocumented, veterans, etc.
Experience working independently on multiple projects simultaneously while still meeting deadlines.
• Experience with dealing with conflict/resolution situation and solving problems creatively.
• Experience with communicating difficult/sensitive information.
• Experience taking meeting minutes or notes.
• Knowledge of institutional, state and federal policies and procedures.
• Experience planning and organizing large (30+ people) events and/or meetings.
• Experience maintaining discretion and confidentiality in and outside the workplace. Work Hours
Typically, Monday – Friday, 8 am – 5 pm.
Limited alternative work schedule may be considered, depending upon needs of the office and the academic calendar.
