Job Summary

Reporting to the Associate Director of Financial Counseling and receiving work lead direction from the Assistant Director for Scholarship Programs, the Scholarship Assistant supports the San Jose State Scholarship Program by assisting in the implementation, administration, and monitoring of programs, processes and communications; maintaining applicant and scholar information; providing information and resources to both internal and external customers; and providing general administrative support to the office. This position also provides operational support to the Operations and Customer Service for the Financial Aid and Scholarship Office.

Key Responsibilities
  • Assists the Scholarship Coordinator with ongoing projects related to the scholarship process and timely implementation and completion
  • Prepares and ensures that all donor direct checks are logged in the Filemaker database
  • Prepares and makes deposits to the Bursar’s Office to the appropriate scholarship accounts
  • Updates and maintains scholarship applications and bulletin boards
  • Interprets policies and procedures in order to put information together in new ways to develop practical, thorough and creative solutions, including workflow review implementation
  • Advises students searching for scholarships and on the application processing
  • Provides support to scholarship committees
  • Applies established policies and procedures to make deposits to appropriate scholarship accounts
  • Provides support in trouble shooting and answering questions about the electronic scholarship application process
  • Organizes and maintains all scholarship account folders for accurate retrieval and processing
  • Works within the Financial Transactions Services (FTS) to process check requests for return of monies to donors and transferring of endowment accounts
  • Participate at on-campus yield events explaining the financial aid process to perspective San Jose State University students
Knowledge, Skills & Abilities
  • Ability to compose and appropriately format correspondence and reports
  • Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections
  • Knowledge of software applications, such as word processing, spreadsheets, graphics, and database management
  • Knowledge of budget policies and procedures
  • Ability to perform accurately in a detail-oriented environment
Required Qualifications
  • Completion of a high school program, technical/vocational program, or their equivalents
  • Three years of related office work experience
Preferred Qualifications
  • Three years of related office experience
  • Experience providing customer service in a student services/financial aid environment
  • Experience with databases (PeopleSoft, Filemaker Pro, OnBase)
  • Strong written communication skills
  • Experience organizing changing work priorities in high demand office environment
Compensation

Classification: Administrative Support Coordinator II
Anticipated Hiring Range: $3,540/month - $3,600/month
Salary Range: $3,440/month - $5,639/month
