The Ball State University Office of Financial Aid and Scholarships ( OFAS ) welcomes applications for two Coordinator of Special Academic Programs positions. The successful candidates will work closely with the Associate Director to provide leadership and guidance regarding the Office of Financial Aid and Scholarships activities in support of the University’s modular academic calendar.

Position Function

Provide leadership and guidance regarding the Office of Financial Aid and Scholarships activities in support of the University’s modular academic calendar. Work with the Associate Director for Compliance, Program Management and Training to interpret complex rules and regulations and work with offices across campus in the development of policies and procedures that best serve students and are regulatory compliant.

Minimum Education

Bachelor’s Degree from an accredited institution, or in lieu of Bachelor’s degree, Associate’s degree with an additional two years of relevant experience.

Minimum Experience

At least one year of related experience.

Minimum Other

Excellent communication, customer service and interpersonal skills.

Authorization to work in the US

Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.

Preferred Education

Master’s degree.

Preferred Experience

Experience working in a college or university Financial Aid Office; demonstrated ability to effectively plan, organize and prioritize tasks to meet deadlines; proficiency with Ellucian’s Banner Financial Aid module; working knowledge of BDMS or other imaging software.

Job Duty

Provide leadership in the management and administration of financial aid for modular and non-standard term course offerings; maintain a comprehensive knowledge and understanding of applicable federal and state regulations and required financial aid policies and procedures through training and self-initiated research.

Serve as the primary liaison for colleges and campus departments regarding modular course offerings; ensure that financial aid advising for modular offerings is comprehensive and there is a campus-wide understanding regarding the complexities of enrollment in modular course offerings.

Monitor the automated processes essential to the day-to-day operations regarding financial aid for students enrolled in modular courses; ensure timelines and compliance with rules and regulations; recommend proposals for policy, procedural or systems changes as identified.

Award and package financial aid; monitor and adjust aid based on modular enrollment patterns and beginning dates of programs that are compliant with awarding policies and procedures.

Manage the financial aid portion of third-party programs, graduate assistantships and employee fee remissions.

Work with OFAS leadership to prepare and conduct training sessions for departmental staff.

Participate on relevant interdepartmental committees that address procedural or data integrity issues affecting administrative and academic departments and provide input for needed changes to relevant software or setup.

Interpret complex federal and state regulations, guidelines and professional literature on financial aid and inform staff of changes, modifications and interpretations resulting from new or current legislation. Monitor financial aid and Banner-related list-serve postings, IFAP, NASFAA, regulatory postings, attend training, conferences and webinars when relevant.
