The College of Lake County is currently searching for an Academic and Data Operations Supervisor* to join the Adult Education Operations Department. Under the direction of the Operations and Compliance Manager, the Academic and Data Operations Supervisor works collaboratively with faculty and staff to enter, maintain, report, and audit the two Student Information Systems ( SIS )— ICCB’s DAISI system and the college’s PeopleSoft Campus Solutions. This position plans, develops, and manages the data collection processes for students and their enrollment and provides statistical data and analysis for decision-making and enrollment management for the Adult Education and ESL division. Responsible for complying with reporting requirements of ICCB . Supervises the development of the class schedule and faculty offers.

Required Qualification
  1. Bachelor’s degree in Business, Social Sciences, Information Technology, Computer Science, Education, or related field.
  2. Proficiency in the Microsoft Office suite.
  3. A minimum of one year work experience with large databases and information systems.
  4. Excellent organizational and data verification skills.
  5. Excellent problem solving skills.
  6. Excellent written and oral communication skills.
  7. Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work.

Supervision and Project Leadership: 30%
  1. Supervises all student data collection systems and student electronic and hard copy files. This includes student attendance, drops, adds, re-enrollments, incorrect placements, holds, transfers, enrollment conflicts, and assessment or testing results,
  2. Leads the development of the class schedule and ensures coordination with department chairs and other staff in the division.
  3. Supervises clerical staff in developing the class schedule, room assignments, and assigning faculty in PeopleSoft.
  4. Leads the development of data collection processes for student enrollment and assessment results for the division from student intake, pre-testing, registration, 3rd day transfers, and post-testing.
  5. Supervises the process of collecting professional development completion certificates and forms, auditing paperwork completion to comply with ICCB requirements and submit those for approval by the Dean.
  6. Oversees technology based relations with other departments and all administrative decisions and data policies and procedures implemented in regards to technology used in Adult Education.
  7. Supervises the maintenance of the Division’s Teams and SharePoint Site.
  8. Oversee the day-to-day record-keeping and filing operations of the Adult Education and ESL Division programs to comply with state and federal requirements.

Department Operations & Procedures: 60%
  1. Maintains the ICCB DAISI data on students (i.e., goals, attendance, retention, assessment or test results, completion and transition to college), classes, courses, funding, facilities, faculty, etc. to monitor program and student progress.
  2. Maintains and checks for accuracy and consistency the DAISI and PeopleSoft data on students, classes, courses, and faculty.
  3. Runs queries and processes in the ICCB DAISI and in the college’s PeopleSoft, including data uploads for syncing the two databases.
  4. Prepares state reports for review of the dean and submits the report to ICCB as required by the grant.
  5. Analyzes and interprets statistical data for strategic enrollment management to ensure a stable growth in enrollment, adequate course/class offerings, and improved retention.
  6. Coordinates with the college’s Student Development and Educational Affairs for institutional forms, rules, regulations, and information systems that apply to the division.
  7. Prepares the Adult Education registration and program information of the college catalog and schedule of classes.
  8. Produces statistical reports in the form of graphs, charts, and tables
  9. Implements ICCB grant regulations and CLC policies by developing procedures to comply with these updates.

Customer Service 5%
  1. Coordinates with the department chairs regarding the class schedule and the faculty assignments and offer.
  2. Assists the faculty with their questions and needs each semester.
  3. Responds to data requests from other parts of the college.
  4. Provides technical support, directions, and training for users of DAISI and PeopleSoft in the division.

Other: 5%
  1. Participate in data and technology related institutional committees.
  2. Other duties as assigned.
